The Workforce Innovation and Skills Training (WIST) is one of four divisions in the Ministry of Advanced Education, Skills and Training (AEST). The Division provides leadership on strategic workforce development information, policy and programs to connect industry and the post-secondary education and skills training systems to ensure British Columbians can succeed in a strong, sustainable economy.

The Executive Administrative Assistant (EAA) provide secretarial and administrative services to the Assistant Deputy Minister (ADM) office within the Ministry of Advanced Education, Skills and Training. The EAA is responsible for developing and maintaining administrative systems, procedures and standards to ensure correspondence, reports and other materials are completed within critical timelines. The EAA is also responsible for preparing time-sensitive documentation for Executive, organizing travel itineraries and managing theADM’s calendar.Other priorities include preparing materials and binders for various meetings, taking minutes, and organizing meetings and events (including logistics, facilities and catering).Highly organized, you capably prioritize and manage your workload to meet deadlines, using your outstanding eye for detail to ensure all work is carried out to a high standard.If you have the initiative and dedication it takes to succeed in a high profile, dynamic environment, we look forward to your application.

Job Requirements:
In order to be considered for this position, your application must clearly demonstrate how you meet the education and experience as outlined below:

  • Secondary School Diploma or GED equivalency.
  • A minimum one-year administrative experience. (This must include experience in an executive office.) Preference may be given to applicants who have 2 years or more experience.

Administrative experience must include:

  • Office experience working in a confidential capacity including maintainingconfidentiality when handling sensitive information and materials;
  • Experience managing calendars, scheduling meetings and travel arrangements, including logistics, facilities and catering;
  • Experience typing, formatting, proofreading and editing a variety of documents, including letters, memos, briefing materials, reports and presentations;
  • Experience with managing the flow and approval requirements for executive correspondence (eg: minister’s letter, briefing notes and issue notes);
  • Experience with Microsoft Office suite of applications; (Outlook, Excel, Word);
  • Experience using CLIFF, eApprovals, SharePoint and ARCS/ORCS records management system.

Preference may be given to applicants with one or more of the following:

  • Post-Secondary courses or programs in clerical and/or administrative related fields.
  • Experience working in a public sectoroffice environment.
  • Experience using an expense tracking software (eg: iExpense) while aligning withapplicable travel policies.
  • Experience working with Skype for Business.
  • Experience with the structure or and/or program deliverables.
