Job description: Accountable to Supervisor, Outreach Education, the Outreach Education Program Coordinator is responsible for scheduling and booking of youth-oriented programs at the Calgary Zoo including school programs, sleepovers, birthday parties, youth group tours, and other intermittent programs. This includes booking, taking payments, inventory management, and maintenance of website in relation to these programs, as well as several back of house responsibilities, tessitura set up, and other duties as required.

Responsibilities:

Return client calls and emails within 24-48 hours.
Send out client program evaluation survey forms for programs as needed.
Respond to customer comments/concerns.
Building the annual school program availability schedule.
Scheduling and booking a high volume of school programs, sleepover programs, birthday parties, and youth programs, including sending out confirmation letters.
Process payments for bookings using Tessitura.
Booking programs in all necessary databases including Caterease, Tessitura, Microsoft Access and Excel so all internal departments affected are informed of upcoming programs.
Daily cash out.
Creating internal contracts for each program.
Creating program tickets, requesting docents Liaise with Call Centre staff on a regular basis to address customer needs.
Updating and maintaining procedures for processes related to booking.
Overseeing the managing the inventory of supplies for youth programs (ie: sleepover merchandise, crafts).
Helping with maintenance of Outreach Education programs on website.
Attend weekly meetings as required.
Order birthday party loot bags.
Consolidating information for strategic reports.
Attending and participating in Tessitura training, planning and design meetings.
Work with Supervisor, OE and IT department for setup of online program bookings in Tessitura, including testing and reporting.
Host various Outreach Education programs. Some evenings and weekend work is required.
Completing other duties as required/requested.

Qualifications:

High school diploma, some post-secondary (Entry Level position).
Experience with database development and maintenance would be considered a strong asset.
Experience with data analysis and survey design considered a strong asset.
Excellent planning, administration, and communication skills.
High energy, self-motivated and organized.
Team-oriented with a willingness to work with staff and volunteers from across the organization.
Enthusiasm for nature.
Advanced knowledge of Microsoft access, Microsoft Excel, and website maintenance software.
Proven history of taking initiative.
Multitasking skills.
Some knowledge of natural history and public speaking abilities.

Working conditions:

The office job involves telephone work, keyboard entry, administrative duties, contact with the public, and some light to moderate load lifting.
