This is accomplished across four geographic management zones which are responsible for the operation of acute care health centres and the provision of a variety of inpatient, outpatient services including academic, tertiary, quaternary care and community based programs and services including continuing care, primary health care, public health, and mental health and addictions.
Responsibilities
Reporting to the Site Manager, the Administrative Assistant provides confidential administrative support, works within an administrative team environment, and acts as a liaison between managers, site employees and physicians. The Administrative Assistant also provides support to Soldier Memorial Hospital (SMH) based managers and physicians as needed; including Site Telehealth Coordination Time Administrator role for payroll preparation and administrative support to various initiatives/ committees as related to the Site Manager’s position.
The Administrative Assistant ensures that the principles and practices that guide NSHA such as the vision, mission, values, expected behaviors, the leadership philosophy, organizational health, population health, ethics, safety, quality, partnerships and interprofessional collaboration are integrated within the support that is provided by the work that they do and through the messages they deliver.
Qualifications
- Graduate of a recognized office administration/ secretarial program required
- Minimum three (3) years’ experience in an administrative support position required
- Ability to use Microsoft Windows and all components of Microsoft Office
- Knowledge of computers is essential with proficiency in word processing, database management, SAP, SharePoint, spreadsheet programs and familiarity with email, Internet and Telehealth technology
- Accurate keyboarding skills with a minimum speed of 60 wpm
- Demonstrated knowledge of NSH programs, functions and organizational structure
- Demonstrated planning, organizing, prioritizing and time management skills
- Demonstrated ability to communicate effectively both orally and in writing, including the ability to take and transcribe minutes
- Demonstrated strong interpersonal skills including ability to work as a team member and ability to foster collaborative relationships
- Demonstrated accountability, initiative, and ability to work independently
- Demonstrated attention to detail
- Demonstrated ability to synthesize information, problem solve and utilize good judgment in decision making
- Demonstrated ability to manage a challenging workload in an environment where frequent interruptions, multiple priorities, deadlines and concurrent activities occur
- Demonstrated ability to maintain confidentiality
- Ability to independently compile reports and presentations, utilizing appropriate computer software

Hours of Work
- Permanent, full-time position; 75 hours bi-weekly
Salary Information
$20.2374 – $25.2968 hourly
