SCOPE

Reporting to the Senior Administrator, Benefits Portfolio, with a dotted line relationship to the Director of Investments, the incumbent supports the production and validation of all financial information for the Office of the Treasurer’s Benefits and Investments portfolios, namely for three different entities: the Pension Plan for the Employees of Concordia University, the Concordia University Foundation and the Kenneth Woods Portfolio Management Program (KWPMP), by assisting the two Financial Accountants in their tasks.

PRIMARY RESPONSIBILITIES

  • Review and process invoice payments and prepare expense reports. Actively follow-up with departments if documentation is incomplete or requires additional information. As a resource person, answer general inquiries regarding expenses.
  • Consult and liaise with internal and external stakeholders, in carrying out duties.
  • Process monthly contributions for all entities.
  • Coordinate the collection of statements from all investment managers and perform various reconciliations including net assets, income, cash positions.
  • Respond to internal and external inquiries, redirect accordingly if necessary. Investigate discrepancies or anomalies in accounting processes and communicate with relevant department or unit, if additional information is required. Provide necessary documentation for the end user.
  • Participate in tax and regulatory filings to tax authorities.
  • Prepare, validate and analyze financial reports used for the updates of the annual budgets and quarterly variance analysis of the Foundation and the Pension Plan. Proofread and edit documentation and reports.
  • Assist in the production of the audited financial statements and year-end files for the Foundation, the KWPMP and the Pension Plan.
  • Support the Financial Accountants during external audits for all three entities, including their tasks of providing all documentation requested by the external auditors and answering all their questions. Produce letters, memos, reports, and other electronic material.
  • Assist in the onboarding process of new investment managers, including the set-up of banking and accounting structures.
  • Provide support to the team, attend key meetings to record and follow up on action items.
  • Perform other related tasks delegated by the Financial Accountants and in support of the unit.

QUALIFICATIONS

  • Diploma of Collegial Studies (3-year technical DEC) in Accounting or Finance or in a field related to the primary responsibilities and two to four years related work experience, including previous experience in accounting.
  • Excellent communication and interpersonal skills, including the confidence, tact, discretion and judgment to work effectively with senior administrators.
  • Very good knowledge (Level 5) of spoken and written English in order to write, analyze, and provide feedback to maintain effective communication with faculty members, and internal units; Good knowledge (Level 4) of spoken and written French in order to communicate effectively and handle routine requests in writing.
  • Advanced knowledge of Word, Excel and PowerPoint to create documents, and spreadsheets.
  • Ability to work under pressure and meet strict deadlines; meticulous attention to detail.
  • Ability to multi-task and work on a variety of projects concurrently.
  • Excellent financial interpretation and analytical skills.
  • Excellent organizational skills in order to effectively organize work and set work priorities under time constraints.
  • Knowledge of accounting policies and procedures.
  • Good understanding of computing and automation technologies and administrative and information systems.
  • Ability to work with minimal supervision autonomously, and as part of a team.
  • Ability to work outside normal operating hours during peak periods.
  • Knowledge of the pension and investment sectors is an asset.
  • Knowledge of Ariba, Concur, web-based financial reports (SAP) and payroll is an asset.
