Job title: Administrative Assistant
Job description: Join a top employer and advance your career. Aplin has partnered with a Halifax, Nova Scotia-based company to hire an Administrative Assistant! This will be a 6-month contract with the potential to go permanent!
Benefits & Perks:
- Compensation – up to $23 per hour
- Please note, this will be a Part-Time Role: 3 days a week. In office twice a week and possibly 1 remote. Days are to be decided but are flexible
- Immediate start
- Hours – 8:30 am to 4:30 pm
Responsibilities:
- Work with Purchasers to get purchase orders submitted to vendors promptly and by PO policy
- Set up new vendors in the system and communicate with vendors when needed
- Assist a team of 6 with administrative tasks
- Review invoices for accuracy and receive invoices through Oracle
- Work with the Accounts Payable team to get invoices processed promptly and reach out to vendors for missing invoices or corrections when required
- Regularly review how reports are being produced and maintained, looking for ways to streamline and improve efficiencies in reporting
- Answer and direct phone calls, take messages, and respond to inquiries
- Manage office supplies inventory and reorder as needed
Qualifications:
- Degree or Diploma in Business, Accounting, or Administration is an asset
- Must be proficient in MS Office including Excel and with Oracle is an asset
- Must have over 2 years of administration experience with some exposure to accounting (invoices, POs, AP, AR)
- Must have excellent communication and multitasking skills
