The opportunity
The Administrative Assistant provides administrative support to the CWB Wealth office in Vancouver. This role will support all CWB Wealth business units with various administrative tasks and projects. The successful incumbent will provide high net worth and corporate clients customer service that exceeds expectations, with professionalism that is quick and accurate and initiative that proactively addresses the needs of both the teams and the clients, with a dedication and commitment to our unrivaled client experience.
The day-to-day
Administrative Support for Private Wealth Advisors
Schedule internal and external meetings by coordinating the client’s availability with the preferred times of each Client Advisor/PM and paraplanner, ensuring all logistics are also properly organized and communicated.
Connect with clients by way of email or telephone to coordinate and confirm appointment dates and times.
Track and manage client records and activity with detail-oriented precision.
Respond and direct all client calls and email requests with professionalism, providing clear and concise verbal and written instructions as needed. Act as the liaison between the client and Client Advisor/PM to support a smooth professional relationship.
Provide the appropriate support for client transactions, like liaising with the Client Advisor to ensure the onboarding/offboarding of clients are up to date, ensuring the information in the CRM and Client Systems are accurate.
Strengthen and preserve our client relationships with quality service, such as proactive and timely delivery of client mailouts, reporting and other client information.
Manage and identify issue escalations and triage when/if needed.
Proactively identify possible process improvements to enhance the client experience and provide feedback to the Client Advisor/PM.
Prepare email merges for client tax letters and efficiently communicate with clients via email.
Business Administrative Support
Consistently maintain the due diligence for our filing systems: create and file new client files, remove and process inactive files and archive all prudent information to Iron Mountain.
Assisting with mail management as required.
Assist in the distribution of reports, newsletters, other mass mailings, etc.
Assist staff in photocopying and scanning needs as required.
Responsible for maintaining inventory of office supplies, as well as material printed in-house.
Assisting with client events as required.
Develop strong relationships and collaborate with teams and leaders across CWB Wealth.
Assist in various projects as required including reconciliation of data, clean up requirements, form development, etc.
Prepare office for tax season (supplies, equipment, workstation set-up, etc.)
Support the tax team during the tax season, providing the necessary assistance with tax procedures which include but are not limited to: updating and maintaining the client tax list, file maintenance, scanning, finalizing client copies of tax returns, via paper copy or electronically, collecting and tracking all incoming signed forms for efile
Assist in various projects as required including but not limited to: reconciliation of data, clean up requirements, form development, etc.
The successful incumbent
Core knowledge requirements
Post-secondary degree or diploma an asset.
Minimum 3 years experience in an administrative role.
Skills and competencies that will take you further
Excellent communication and interpersonal skills; able to communicate professionally both orally and in writing.
Strong customer service orientation.
Team player with a “can do” attitude at all times.
Excellent administrative and organizational skills with the ability to prioritize role responsibilities and manage high volumes of information effectively.
Proficiency with Microsoft Office suite of products, including but not limited to Outlook, Word, Excel, PowerPoint.
Able to deal with people sensitively, tactfully, diplomatically and professionally at all times.
Demonstrated ability to build and maintain relationships with management, staff, and clients to enhance professionalism and productivity.
Show respect, maintain confidentiality, and honour commitments.
Solid interpersonal and communication skills, both written and verbal.
Good analytical skills with strong attention to detail.
Clearly conveys information using the tools necessary, engaging the audience to ensure the message is delivered and understood, creating a positive first impression with confidence and respect.
Ability to work effectively with minimal supervision.
