Job title: Administrative Assistant
Job description: Essential duties and responsibilities:
Company administration support
– First point of company contact including answer phone and electronic enquiries
– Manage administration component of key company accounts
Finance administration support
– Process invoices, purchase orders, cash expenses, credit card statements
– Reporting and support to company financial and budget functions
Human resource administration support
– Processing timesheets and leave request forms
– First point of contact for staff assistance
Office management support
– Order office and project supplies and maintain inventory
General administrative support
– Scan, print, and file documents, manage incoming and outgoing mail, shipments, and communications
– Record and prepare minutes of meetings
– Register for events and memberships
– Other local general administration duties as required
Shipping coordination
– Apply for phytosanitary certificates
– Ship seed internationally arrange for required shipping documentation (customs, permits, etc.)
– Act as the primary contact with shipping companies and broker agencies
Skills:

Ability to handle multiple assignments with short deadlines
Positive attitude with willingness to learn
Team player with good communication and people skills
Qualifications and experience:
Administrative assistant diploma, business office certificate or equivalent
Proficient in Microsoft Office 365
Possess a valid drivers license.
Experience in agriculture/seed business is preferred
Know-how to deal with international shipment of seed is a plus
Hours of work:
Flexible schedule
24 to 32 hours per week
No weekends
