Job description: Regional Infection Prevention & Control Hub – Administrative Assistant (Temporary Full Time)
Hub/Spoke Model:
As a part of the province of Ontario’s comprehensive plan in Keeping Ontario Safe: Preparing for Future Waves of Covid-19 and to address the immediate challenges of Covid-19 and other infections the creation of Infection Prevention & Control (IPAC) Hub/Spoke models have been developed according to regional areas.
Ontario Health has identified organizations including hospitals, public health units and others across the province to lead local IPAC Hubs. The Royal Victoria Regional Health Centre (RVH) will lead the Northern Central Region IPAC Hub partnering with local and provincial public health units along with other regional stakeholders. The hub organizations will work with partners from across the local health systems who have IPAC expertise to ensure that this specialized guidance and support is available to congregate living settings and acute care organizations. The role of the hub/spoke model is to work in collaboration with partners and regional stakeholders to build capacity, create educational opportunities, and provide access to IPAC expertise and the creation and ongoing development of an IPAC Community of Practice. The roles within the IPAC Hub model will report directly to the Professional Practice Department at RVH.
The Administrative Assistant will provide confidential and efficient administrative support services to the Northern Central Region Infection Prevention & Control Hub leadership and staff. In addition the Administrative Assistant will perform duties such as meeting/event planning, maintain an electronic and hard copy filing system and various other assigned duties. They will also be a communications link between the hub lead and the partner facilities.
Key responsibilities include but not limited to:
- Receive and direct phone calls from physicians, leaders, all other hospital staff, as well as external and community inquiries
- Receive and direct all incoming and outgoing email and hardcopy mail
- Co-ordinate appointments for the leadership staff
- Assist leaders by preparing correspondence, lectures, reports, memos, agendas, minutes, and publications
- Maintain adequate stock of stationary, office supplies and equipment at all times
- Order and receive all products necessary for the function of the department
- Record, distribute and file minutes of departmental staff and other meetings
- Prepare agendas, minutes and documents required for meetings
- Coordinate customer services requests
- General tidiness and maintenance of office areas
As a qualified candidate you will have the following job requirements:
- College Diploma in Office Administration or equivalent required
- Progressive experience in administrative support roles required
- Strong computer skills including MS Office Suites (Outlook, Word, Excel and PowerPoint, and Visio) required
- Has experience working for Manager/Director level leadership required
- Experience working in healthcare is preferred

Unless otherwise stated applicants must have a minimum educational requirement of Grade 12 or equivalent and must demonstrate proven workplace excellence through commitment to strong job performance and attendance.
