Position Summary:

The role of the BUFCO Administrative Assistantis to support the Office Manager and gardening teams in the smooth operation of the Company head office and greenhouse. You will be responsible fora wide variety of office tasks such as filing, printing, data entry, social media posting, and correspondence, all in a fast paced, high energy environment.

This position also supports the Greenhouse Assistant who receives, organizes and cares for BUFCO seedling inventory, sorts pre-ordered seedling trays for touchless customer pickups, greet customers and loads their vehicles with their seedlings and other pre-purchased items.

Responsibilities:

Primary

  • Support administration manager and bookkeeper with invoicing and data entry.
  • Managing records of the gardening and installation departments
  • Converting the schedule to Google Calendar
  • Processing client visit records and tracking sheets
  • Manage inventory (seeding/non-seedling)
  • Converting shop orders to packing lists
  • Converting garden plans to packing lists
  • Data entry

Secondary

  • Responsible for processing incoming orders from our online store (WooCommerce).
  • Responsible for customer service; orders, questions, and notification of issues by phone or email.
  • Manage company uniforms and key distribution.
  • Filing.

Occasional

  • Assist in sourcing plants, seeds, and other specific clients’ gardening needs.
  • Pack microgreen kits and other pre-purchased items for customer pick up/delivery.

Skills and Qualifications

  • Intermediate to advance knowledge of technology including google drive, sheets, docs, calendar, maps/place (Title Case) and word-processing and smart phone savvy.
  • Excellent verbal and written communication skills; an excellent listener.
  • Solution oriented thinker, creative problem solver who can think on their feet.
  • A quick learner who is highly organized with meticulous attention to detail.
  • A passion for the public – very comfortable and confident interacting with people.
  • Able to maintain a friendly and personable disposition even during stressful situations.
  • Positive and patient attitude.
  • Able to take direction and work independently.
  • Passionate about growing food and urban agriculture.
  • A love of working outdoors, rain or shine.
  • Reliable and punctual.
  • Able to operate a variety of vehicles with confidence, including small and large vans and small trucks.

Education and Experience:

  • QuickBooks or other accounting software experience.
  • 1 to 2 years of experience in an administrative role.
  • Knowledge of growing and caring for vegetable seedlings and plants is an asset.

Additional Job Requirements:

  • Combination of sitting, standing, walking, bending, crouching, kneeling is required.
  • Able to repeatedly lift and move loads of up to 25 kg.
  • First Aid and Health and Safety training is beneficial.
  • Willing and able to work from home, if required.
  • Able to be adaptable and flexible with changing weather and daily schedules, accepting that some days may be longer than other days.
  • A valid G-class license and clean driving record is required.
