McElhanney Ltd. has an exciting opportunity for an individual who enjoys a fast-paced and challenging office setting to join our Kelowna office as an Administrative Assistant. The successful individual will work well with others, have a keen eye for detail, and comfortably prioritize duties, all with a pleasant, and outgoing disposition. In this position, the incumbent will provide administrative support to a team of engineering, survey, and technical staff.
This person will feel comfortable offering ideas and suggestions and be able to work with the team independently and without direction. Do you enjoy eagerly anticipating the needs of the office and providing excellent service to clients? If so, we have the perfect role for you!
This position offers 20 hours per week from Monday to Friday (afternoons).
Responsibilities
- Provide branch reception services – answer phone, greet clients, incoming and outgoing mail and couriers
- Coordinate meetings and make staff travel arrangements
- Assist with production and assembly of proposals, reports, and client documents
- Perform clerical tasks such as filing, photocopying, scanning, archiving, and disposal of branch documents
- Manage inventory of office supplies and coordinate supply orders
- Assist with composing letters, memoranda, and e-mail correspondence as necessary
- Coordinate internal and external events
- Execute a range of other duties as required.
Requirements
- 2-3 years’ prior office experience in a reception and administrative support role; formal training in an administration program an asset
- Excellent attention to detail, good multi-tasking and proofreading abilities, and the ability to work independently in a busy environment
- Experience with technical writing, and or experience with the professional consulting industry is strongly preferred.
- Punctual, reliable attendance record
- Proficiency with MS Office (Word, Excel, PowerPoint, Teams, etc.)
- Personable, professional demeanor, and a team player with the ability to handle confidential information with discretion
- Ability to take initiative and aptitude for quick learning
