In this role, you will:

  • Manage office mail tracking and distribution,
  • Manage calls and messages for the office.
  • Mange Office Petty Cash, including taxi chits,
  • Manage office access control to include Sign-in protocol, Pass control, Visitors cellular phone control,
  • Management of desk and office booking system,
  • Support to on-site personnel onboarding process,
  • On-site support of HSE administration processes,
  • Assist in coordination of JHSC activities,
  • Coordinate with infrastructure lead in Ottawa:
  • onsite maintenance scheduling,
  • maintaining stocks of office and kitchen supplies.
  • Coordinate Dockyard access for team engineering activities,
  • Coordinate with the Babcock executive assistant network with a focus on support for periodic senior leadership team visits and their engagements with local Royal Canadian Navy sites/leaders,
  • Assist with facilitating events and catering,
  • Local emergency contact system administration,
  • Assist Babcock Communications Team with local comms initiatives and organizing local events,
  • Assist IT team with occasional administrative related tasks.

The ideal candidate brings:

  • Excellent verbal and written communication skills,
  • strong interpersonal skills for collaboration with subject matter experts, colleagues, and users,
  • The ability to understand and adhere to procedures and policies,
  • Strong working knowledge of the Microsoft Office Suite,
  • You are eligible for a Canadian Secret Security and ITAR Clearance.
