Site: Milton District Hospital – with some travel to Georgetown Hospital for E-schedule support

This is what you’ll be doing:
Reporting to the Program Director at the Milton District Hospital, approximately 40-50% of duties will be focused on providing administrative support to the MDH Associate Chief of Staff/Program Director and Physician Chiefs of Services at MDH. Duties will include calendar and on-call management, composing and typing correspondence, scheduling meetings, presentations and interviews as requested, preparing meeting agendas, providing appropriate supporting documentation, attending and taking minutes of meetings as assigned.
The remainder of this position will be focused on support for the nursing management teams at both MDH and GH including taking minutes for staff meetings, assisting with management of e-schedule time keeping as well as electronic schedule preparation and clean up.

- Office administration diploma from a recognized college or equivalent experience required
- Minimum of 5 years experience in a similar position required
- Proficient in the use of Microsoft Office applications including Advanced Outlook, Advanced Word, Intermediate Excel, Intermediate PowerPoint. Required
- Proficient in the use of Electronic Schedule (E-schedule). Required
- Experience working in a hospital or other clinical setting preferred
- Medical Terminology Certificate or equivalent experience required
- Working knowledge of Visio and Adobe Acrobat Professional would be preferred
- Minimum 65 wpm typing speed required
- Extensive experience taking minutes of meetings required
- Extensive experience in managing the calendars of multiple individuals
- Demonstrated ability to effectively prioritize and organize multiple projects with strict deadlines
- Demonstrated tact, diplomacy and confidentiality
- Exceptional customer service skills
- Excellent verbal and written communication skills
- Self-directed and able to work effectively with minimal supervision
- Demonstrated commitment to ongoing learning and able to learn new tasks quickly
- Able to meet the physical demands of the position which requires frequent sitting, standing, bending and reaching
