About the Role

With a passion for care towards residents, families and team members, the Administrative Assistant at Bethany Cochrane is accountable for the provision of clerical and operational support in an assigned resident care area. The Administrative Assistant will assist the Interdisciplinary Team and Site Management to be organized and to maintain efficient interaction with other departments and agencies.

1. Resident-Centered Care: Promotes service excellence through assisting residents, families, and Interdisciplinary Team members in meeting the needs of residents and day to day operations of the site.

  • Maintains a courteous, helpful demeanor and consistently demonstrates an ability to communicate clearly and concisely with all contacts.
  • Provides timely and accurate assistance to residents, families, team members and visitors.
  • Facilitates communication as required (answering phones, directing messages, using intercom, communicating with external agencies and internal resources).
  • Promotes resident well-being and independence through arranging appointments (hairdressing, outings, consultations, lab work, and conferences).
  • Assists in identifying resident transportation needs and arranges transportation, accompaniment and petty cash as required.
  • Communicates with the residents, families and Interdisciplinary Team members in regards to resident preferences and schedules.
  • Distributes all incoming/outgoing mail, supports completion of letters, minutes, faxes and memos and ensures distribution of same to staff/residents and families.

2. Documentation: Accurate, comprehensive and timely documentation of resident care interventions and outcomes in alignment with Bethany policies and procedures.

  • Assembles and maintains the Resident Health Care record in an accurate and up to date manner.
  • Ensures proper resident identification is in place.
  • Maintains the confidentiality of all residents.
  • Maintains awareness of the unit’s inventory and completes requisitions for material management when required.
  • Supports centralized schedulers in the absence of the Senior Administrative Assistant.
  • Maintain accurate lists according to established routines, filing, entry of admission information into the electronic health record and maintains necessary resident stats, thins charts and stores data.
  • Supports basic and routine accounting functions (accurate trust accounts, requests refund for discharged accounts, reconciles and balances all A/R entries) and responds to routine inquiries regarding payment in the absence of the Senior Administrative Assistant.
  • Supports centralized schedulers in the absence of the Senior Administrative Assistant.

3. Safety: Contributes to a safe environment for residents, team and self by understanding and adhering to safety guidelines and practices at all times. Demonstrates thorough knowledge of all resident and occupational health and safety policies and procedures.

4. Pro-active Learner: Demonstrates the vision and values of Bethany and lives out the mission of Creating Caring Communities. Attends and actively participates in education opportunities, health and safety training and safe equipment operation training.

5. Team Work: Cares for and actively participates and assists the other employees to achieve and maintain a responsible atmosphere of resident centered care.

What You Bring

  • Grade 12 Diploma
  • Previous experience with geriatrics is preferred
  • Previous administrative experience is preferred
  • Experience and a good working knowledge of Microsoft Office
  • Excellent interpersonal skills, and strong verbal and written communication skills
  • Good vision and hearing (with correction if needed) is required
  • Able to spend prolonged periods at a desk utilizing a computer and monitor and performing other close visual work as required (sitting, handling, touching, finger dexterity)
  • Mobility for kneeling, bending, stooping and light lifting would be utilized or necessary
