Job description: We are currently seeking a part time Administrative Assistant to join our growing team. This is a very dynamic role as the successful candidate will primarily offer support to our Assistant Team, our Trade Processing Clerk, and our Financial Planning Department. The successful candidate will also be responsible for reception coverage and a variety of administrative tasks. This position requires someone who able to work in a demanding and fast-paced environment with constantly shifting priorities. The successful candidate must have a high aptitude for learning, be detail oriented, and be able to multi-task efficiently.
Duties and Responsibilities
Work alongside the Assistant Team to:
· Support advisors in meeting internal and external organizational needs; handling concerns, inquiries and general administrative needs that would otherwise require the advisors’ time
· Complete trade and account opening paperwork
· Complete trade follow-ups
· Send emails to clients & booking appointments
· Prepare meeting packages
· Maintain appointment calendars with clients, wholesalers, advisors, and head office
· Interact with clients, fund companies, other advisors, and other wholesalers on a daily basis.

Work alongside the Processing Clerk to:
· Process all trade requests for all the advisors in our office and sub-branches (as needed)
· Faxing documents to fund companies
· Imaging documents to Dataphile
· Correspond with head office and fund companies with regards to missing documents, processing questions, account requirements, etc
· Diarizing trades
· Filing
- Other administrative responsibilities as required
Knowledge, Skills and Abilities
Required:
- Language: English
- Excellent attitude, professionalism and an extraordinary client service orientation
- Excellent time management skills to handle multiple tasks with changing priorities
- Flexible, adaptable, and able to respond quickly to fluctuating workload
- Ability to work well under stress created by time deadlines, volume fluctuations
- A quick learner with strong verbal, written and interpersonal communication skills
- High degree of accuracy and attention to detail
- Strong initiative and self-motivated individual who can work independently and as a team member
Completion of the Canadian Investment Funds Course (CIFC) would be an asset. If not yet completed, the successful candidate would be required to complete this course within 6 months. Please visit the IFSE website for more information – .
Experience in the financial services industry is preferred.
This is a part time position, with working days between Monday to Friday and working hours primarily 9:30am to 3:30pm (willing to discuss flexibility of these hours). Full-time hours may be required during busy times (January to March).
