What you will do
As an Administrative Coordinator, you will support a team of project managers and technical staff. Daily, this role is required to triage issues, seek to understand, provide resolution, and know when to escalate issues. You will support the teams with contract tracking, supplemental information gathering and contract document review.
More specifically, you will also:
- Assist with developing Statements of Work (SoWs), engaging vendors and tracking competitive processes in the pipeline (e.g. RFP, RFQ, RFI, etc.) on behalf of project managers.
- Assist with time tracking for employees and external consultants
- Support activities related to contract renewals for resources and technology
- Support regular operations, including scheduling internal and vendor meetings.
- Assist in the onboarding and offboarding of staff and contractors.
- Provide support to portfolio planning and forecasting activities
- Develop and implement administrative processes, procedures, and tools to make our team successful.
What you need to succeed
You are self-motivated, dependable, highly organized, and accurate. You must have excellent time management skills to be able to handle multiple tasks with accuracy. You possess strong inter-personal and effective communications skills that enable you to reach out to others to facilitate issue resolution. You possess the ability to enhance the efficiency and effectiveness of the team by proposing improvements, writing procedures, and reformatting/converting documents.
In addition, you have:
- Excellent interpersonal and communication skills, both written and verbal
- Intermediate understanding of general accounting principles
- Strong proficiency in MS Office (Excel, Microsoft Word, Power Point and Outlook)
- Team Player but who can also work effectively on an independent basis
Nice-to-have
- SAP and ServiceNow experience
- Ability to learn new software, be tech savvy
Your education and experience
This position requires a high school diploma or certificate /diploma in administration, business or office administration and a minimum of two years of recent work experience providing administrative support services or an equivalent combination of education and experience may be considered
What you need to know
- Language requirement: English and French essential (bilingual) with a minimum starting level of functional (level 4) in second official language. Training may be provided to help reach the required level of fully functional (level 5) in second official language.
- Priority will be given to Canadian citizens and permanent residents
- Security level required: Reliability
- You will work remotely from any location within Canada while the Bank operates under mandatory telework. Flexibility for remote work for the duration of the term may be granted.

- Salaries are based on qualifications and experience and typically range from $63,500 to $74,700 (job grade 14)
- Depending on performance, you may be eligible for performance pay for successfully meeting (5 to 7% of your base salary) or for exceeding expectations (10% of your base salary). Exceptional performers who far exceed expectations may be eligible for higher performance pay.
