Job description: TRAVEL: Travel is necessary for off-site meetings to provide assistance during events to ensure the smooth and seamless execution. Arrival is expected before the meeting, and departure is scheduled once attendees/participants have left. All travel occurs within Canada and ranges from 2 to 5 days.
Role Overview
As an Assistant Coordinator, you will play a crucial role in supporting the planning and execution of various meetings and events. Working closely with the Lead Coordinator, you will contribute to the seamless organization and coordination of events, ensuring that all aspects run smoothly. This role requires a detail-oriented individual with excellent organizational and communication skills.
Responsibilities
1. Administrative Support:
– Provide administrative assistance to the Lead Coordinator in scheduling, coordinating, and organizing meetings and events.
– Assist in maintaining accurate records and documentation related to meetings and events.
2. Communication:
– Communicate with internal and external stakeholders to gather information, confirm details, and address inquiries related to meetings and events.
– Assist in preparing and distributing communication materials, including invitations, agendas, and follow-up correspondence.
3. Logistics Coordination:
– Support logistics planning for meetings and events, including venue selection, catering arrangements, audio-visual setup, and transportation logistics.
– Coordinate with vendors and suppliers to ensure timely delivery of services and materials.
4. Technology Utilization:
– Familiarize yourself with the different software and tools to help streamline the planning process
5. On-Site Support:
– Provide on-site support during meetings and events, ensuring that everything runs smoothly and addressing any issues that may arise.
– Collaborate with the event team to manage registration, distribute materials, and assist with attendee needs.
6. Budget Tracking:
– Assist in monitoring and tracking expenses related to meetings and events, helping to ensure adherence to the budget.
Basic Qualifications:
– College Degree or equivalent experience
– Minimum 3 years of experience in Administration support and event planning
– Excellent communication skills. Bilingual in both English and French (verbal and written) is preferred
– Knowledge of various applications such as SAP, Microsoft Office 365
Required Qualifications:
– Strong analytical and organizational skills
– Comfortable in a multi tasks environment and can work effectively under pressure
– Aptitude to discern/distinguish priorities (time management)
– Detail-oriented and proactive problem-solving skills.
– Excellent organizational skills.
– Ability to work in an environment of teamwork and collaboration
– Strong orientation in services and very flexible
– Energetic, excellent judgment and highly adaptable to unforeseen situations
– Creativity and initiative are required to find new ways to satisfy customer requirement
