Reporting to the Administrative Officer, the Administrative Services Assistant will provide administrative support to the departmental faculty in a broad spectrum of teaching, research and service activities of the department. Duties and responsibilities include: managing and maintaining the Genetec proximity lock system; assigning office space and key distribution; coordinating the MCB Seminar Series; serving as secretary on the departmental Health and Safety Committee; serving on the departmental Outreach Committee; coordinating e-course Outline completion; booking meetings and rooms; managing various databases of statistical information; and maintaining accurate and confidential files. The Administrative Services Assistant will also maintain the departmental website and provide communications support. The incumbent is also the primary back-up to the Graduate Program Assistant and provides general office assistance (and back up as necessary) to the Molecular and Cellular Biology administrative staff.

Requirements of the position include:

  • Two Year Community College diploma in Office/Business Administration or related field plus some related experience, preferably in an academic environment, or an equivalent combination of education and experience
  • A high level of diplomacy, tact, judgment, and the ability to multi-task while maintaining a high quality of work
  • Attention to detail, strong organizational skills and proven ability to prioritize a challenging workload
  • Demonstrated ability to work effectively both independently and as part of a team
  • Excellent customer service and interpersonal skills and a high level of emotional intelligence
  • Excellent oral and written communication skills
  • Knowledge of and experience with health and safety policy and practice, WHMIS training and first aid training
  • Intermediate level knowledge of MS Word, Excel, Access, D2L, Powerpoint, Adobe Acrobat, Outlook / Calendar, Office 365, and working knowledge of Drupal for website maintenance and AODA compliance
  • Familiarity with student information systems is preferred
  • Preferred candidates will demonstrate an understanding of policies and procedures that apply in an academic environment and will have experience providing student support and a genuine interest in the well-being of students
