6 Months Contract (Extension Possible)

Work from Home

  • Remote until office opens then there will be hybrid working model part time in office and part time at home.
  • Would take someone in Lachine or Burlington.

Role

  • The person must be well organized and be able to stay on top of things.
  • Bilngualism (French & English) now required, verbal and written.
  • Must be able to speak and write English.
  • Good Customer Service Skills.
  • The role is commercial coordinator – managing all aspects of order flow and financials, including customer relations.
  • Important thing is to have a person who is highly organized, fast learner and good with numbers.
  • Experience with various ERP technologies is the key, because this is where the commercial specialist will spend most of his/her time.

About You

  • You are signing up for an experience that requires analytic curiosity, flexibility, and a passion for working on multiple projects at the same time.
  • You have an understanding of commercial flow of a project with a minimum of 3 years of experience working and managing the commercial and transactional facet of projects.
  • You will work closely with our project management specialists, sales, marketing and operations in helping our customers by delivering timely solutions while helping the client grow within the Canadian landscape.
  • You will be responsible for proactively managing and coordinating the commercial aspects of project orders containing standard, assembled-to-order and engineered-to-order equipment for Canada.
  • You will serve as a customer advocate and demonstrate a leadership role in complex issues related to the project, while communicating with plants, sales and assigned customer base regarding the status of orders including production schedules and logistical concerns to ensure on-time and accurate delivery of project commitments.

Requirements

  • Bachelor’s degree or Diploma with relevance to the job description.
  • Strong computer skills and high proficiency in Microsoft Suite and Cloud applications.

Your impact, three months into the role:

  • You’ll have learned client’s platforms and become familiar with the project flow throughout the lifecycle. You will become our client’s go-to resource for any commercial questions related to their orders.
  • You’ll be coordinating a variety of tasks (and inputs) which include working with our third-party logistics providers, sales, marketing, distributors and end-users in order to take the projects from design to delivery.
  • You will get familiar with the various departments and personnel within client – who will be assisting you on your project’s journey.
  • Maintain the commercial integrity of projects.
  • Reviewing and understanding customer purchase order requirements, monthly project reviews, risk mitigation measures, ensuring system data integrity.
  • Maintaining financial control measures, claim resolution and bonds/letter of credits.
  • Maintain company objectives throughout the order cycle while managing progress billing, accurate invoicing, on-time shipments, logistical planning and coordination.

Project communication:

  • Communicate effectively with plants, credit, field sales, and other internal departments on project issues and follow through to closure.
  • Communicate directly with the assigned customer base regarding the status of orders, shipment schedule, and invoicing.
  • Manage multiple project orders and prioritize time and tasks effectively to serve client’scustomers
  • You will manage 40-55 assigned distributor branches and manage 100-185 active project orders, of varying complexity, scope and timeline.

Responsible for:

  • Scanning their systems daily for new orders
  • Order entry
  • Verifying purchase orders
  • Releasing orders, change notices
  • Checking delivery dates
  • Following up with carriers to enquire about shipment dates
  • Reconciling orders
  • Communicating with customers (95% are the distributors, occasionally may speak with end user) regarding their orders and shipment dates.
  • Communicate in French and English by phone and email so must be able to speak and write Quebecois French.
  • Troubleshotting delivery issues
  • Must be able to manage 60-70 orders per day. The orders will be at various stages.
  • Need the French skills now as some of their bilingual team have moved to other roles and their business in Quebec has picked up.
  • Does not need electrical experience, no technical / engineering candidates because they won’t stay
  • Experience in industrial sector preferred
  • Must have strong commercial (transactional -entering orders/chasing shipments) background
