They are currently seeking an organized, meticulous, and engagement-focused program professional to join their team as a Candidates & Awareness Coordinator.
This role will play a critical role in supporting multiple committees in achieving their plans & strategic objectives through effective management of communications initiatives, event planning and coordination, and administration. By joining this small, dynamic and supportive team, you will be integrated into a collaborative and cohesive group dedicated to upholding high standards of work and professionalism in order to deliver quality support to their stakeholders.
Location: North Vancouver, BC
Work Arrangement: Remote (with ability to meet in-person for meetings on a routine basis, and attend events)
Expected Salary Range: Up to $60,000 per year
Responsibilities:
- Committee Support
- Regularly attend committee meetings, and ensure committees are on track to achieve their strategic objectives
- Actively liaise with committee chairs
- Continually identify room for committee growth and improvement
- Event Management
- From start to finish, plan and coordinate various types of committee events for the year, while effectively tracking deadlines and liaising with all parties involved
- Create event in Cvent; manage registration and feedback surveys;
- Manage Zoom for virtual events and workshops
- Work with volunteers to organize committee events
- Follow-up with event attendees and track key data and details
- Create and update event-related material, including, but not limited to website, scripts, slide decks, and signage
- Annual Dinner
- Support the planning of the Annual Dinner, in collaboration with the contracted event planner
- Source and organize volunteers, participants, partners, volunteers, and speakers based on what is required for each event with the assistance of the event committee; follow-up and liaise accordingly
- Manage registration for events and ensure set up, including sponsor banners, tables, promotional materials, where needed
- Financial Management
- Manage committee and event budgets
- Provide regular updates to Committee Chairs on budget status
- Ensure sponsor benefits are being achieved for each committee
- Communication
- Distribute emails to various audiences, including members and subscribers
- Promote initiatives via multiple communication channels, including social media and committee volunteers
- Administration
- Assist with the creation and distribution of multiple newsletters, including collection and coordination of articles through the assistance of committee volunteers, and working with designer for accuracy and completeness before distribution
- Contact sponsors for ads for bi-annual newsletter
Requirements:
- Minimum 3 years’ experience working in multi-sized events, ranging from 50-1200 guests
- Post secondary education is required; certificate or diploma in event management and/or marketing and communications is desirable
- Exceptional attention to detail with the ability to handle complex schedules, and multiple ongoing projects simultaneously
- Financial management experience to manage budgets and handle fee negotiations with venues, event vendors and suppliers
- Excellent interpersonal skills to foster and nurture engagement and involvement of various stakeholders, including volunteers, members, and vendors.
- Superb written and verbal communication skills to clearly convey plans and logistics for events, as well as to create and update content for various materials, such as newsletters, event-related content, and emails for distribution.
- Strong computer skills with the ability to work with various programs and systems, including MS Office Suite, as well as Zoom Meetings and Zoom Webinar; experience with Cvent is desirable
- Professional, motivated and proactive team player with strong problem-solving skills and the ability to collaborate across various groups and teams
