Job Responsibilities

Resident Relations and Customer Experience:

  • Providing prompt and courteous service to prospective and current residents, focusing on their individual needs and wants;
  • Greeting visitors, suppliers and residents;
  • Responding to resident requests for special arrangements or services (e.g., transportation, larger deliveries) by making arrangements or identifying appropriate providers;
  • Responding to special requests from residents with unique needs and follow up to ensure satisfaction;
  • Establishing positive working relationships with business owners and suppliers in the area in order to provide residents with high quality and reliable recommendations;
  • Maintaining an expert knowledge of the surrounding community, its amenities and services and gathering, summarizing, and providing information to residents about the property and the surrounding area, including special events and activities;
  • Answering, recording, and processing all resident calls, messages, requests, questions or concerns;
  • Updating and reviewing shift logs/daily memo books and document pertinent information in logbooks;
  • Maintaining amenity booking logs and ensuring appropriate contract or form is completed;
  • Assisting residents with maintenance service requests and ensuring they are communicated to the Property Manager.
  • Assisting Leasing staff with organizing resident events.
  • Provide residents with suite access in the event of lock outs/lost keys in accordance with suite access policies.
  • Record and report resident complaints to the Property Manager for immediate action.
  • Maintain property notice boards to ensure only updated notices are posted and stale notices are removed.

Property Operations:

  • Scheduling and maintaining log for service elevator and loading dock and conducting inspections before and after resident use;
  • Providing building access to contractors and visitors by maintaining contractor logs and managing access devices;
  • Monitor access by activating and maintaining log of security access cards and fobs, underground transmitters and other access devices;
  • Maintaining Interphone system and update security system software.
  • Perform regular patrols of the interior and exterior common areas
  • Act as a liaison between contracted security staff and Property Manager reporting any issues to Management and new directives/policies to contracted staff.
  • Communicate with the Property Manager, team members and site staff on an ongoing basis.

Qualifications

  • Previous building experience preferred
  • Excellent customer service skills
  • Basic computer skills in MS Office
  • Good communication skills
  • Must be available to work afternoon/evenings
