Job description: Reporting to the Associate Vice-President (AVP) Financial Services, the Coordinator, Special Projects and Strategic Priorities, works in a dynamic and fast-paced environment representing and providing critical leadership for key activities of the AVP Financial Services and liaises with the Vice-President’s (Finance & Operations) Office on all key deliverables. These activities enhance the visibility and reputation of the AVP Financial Services by managing internal & external relationships in a proactive and structured manner including ensuring seamless links with other internal departments, leadership team members, boards, and external stakeholders. The Coordinator upholds the image of the AVP Financial Services by adhering to a professional and consistent standard. They will work to ensure the AVP receives the highest level of strategic support possible and will assist with the implementation and conduct of the Office’s responsibilities primarily in, but not restricted to, support in operational planning, policy formulation and strategic project management.

Responsibilities include:

  • Assume a lead role in the planning and execution of the Associate Vice-President’s commitments and projects, including drafting communications and presentations, facilitating meetings, and completing reporting submissions
  • Coordinate actions following various internal and external board and committee meetings
  • Develop and maintain strong relationships with internal and external stakeholders
  • Manages key initiatives (e.g., events, compliance, etc.), activities and other deliverables involving the AVP Office and their Direct Reports, where appropriate
  • Support the management of the departmental budget
  • Implement and evaluate specific projects and ensure the effective completion of project milestones

Requirements of this position include:

  • An undergraduate degree in business administration or related program and five (5) years of related, progressive experience, or an equivalent combination of education and experience; a project management training and/or certification is preferred
  • Demonstrated experience and success leading strategic projects and facilitating meetings
  • Knowledge of provincial and federal government organizational hierarchy and processes
  • Working knowledge of the governing principles, practices, policies, governance processes and organizational structure of a university
  • Knowledge of broader public guidelines and best practices for procurement processes in the university sector
  • Experience in financial planning, budgeting, and management and the ability to make sound and cost-effective decisions
  • Experience working with boards and committees including preparing meeting materials, minutes, agendas
  • Exceptional diplomacy, judgement and knowledge of complex political and organizational relationships
  • Demonstrated ability to build and manage networks and relationships with internal and external stakeholders
  • Ability to assess a situation quickly, and recognize when matters are of a serious nature and handle with expediency
  • Maintain highest levels of discretion and confidentiality
  • Ability to work independently or in a team environment and to interact effectively with other staff, senior level administrators, and students
  • Strong analytical, conceptual and problem-solving skills
  • Highly effective communication and interpersonal skills
  • Excellent organizational skills and the ability to prioritize tasks and manage multiple initiatives concurrently
  • Advanced knowledge of Microsoft suite of products (specifically Word, Power Point and Outlook, and intermediate knowledge of Excel)
