The Director, Finance and Operations, will be a key member of the Senior Management Team, contributing financial leadership and strategic counsel in the development and enhancement of financial policies, procedures and internal controls in a manner that contributes to the development and execution of the organization’s strategic direction. In addition, manage the organization’s information systems, facilities, human resources practices and compliance with legislative and accrediting bodies.

Support implementation and make recommendations for improvements for strategies that take advantage of current and future opportunities; think beyond day-to-day tactical and operational issues and events; recognize the broader implications and strategic impact of decisions.

Primary Responsibilities

Finance

  • Ensure the proper conduct of the financial affairs of United Way Elgin Middlesex through the provision of effective financial systems and support
  • Inform business strategy by providing necessary reporting and intel to the Senior Management Team and Board of Directors
  • Manage the annual audit process; work with external auditors to ensure accurate financial statements,
  • Manage the development, implementation, and tracking of the annual budgeting process such that the budgets will be in sufficient depth to form the basis for the planning process and for financial performance comparisons
  • Oversee financial accountability and controls; ensure appropriate fiscal controls are in place to meet statutory compliance and the integrity of data and statements
  • Oversee bookkeeping functions including maintenance of the general ledger, accounts payable, accounts receivable and payroll. This role includes creating and posting journal entries where required
  • Develop and maintain timely and accurate financial statements and reports that are appropriate for the organization and in accordance with Generally Accepted Accounting Principles
  • Oversee responsible preparation of donor tax receipts in compliance with Canada Revenue Agency requirements with regular review and updating of gift receipting policies
  • Create and maintain benchmarking indicators related to financial planning and disbursement; provide analysis on trends to guide strategy
  • Monitor banking and investment activities and relationships, including setting up and processing EFT/ACH payments to vendors and agencies on a timely and regular basis

Reporting & Compliance

  • Ensure compliance with provincial and federal requirements and standard accounting and audit procedures
  • Oversee annual renewal of United Way Centraide Canada’s Membership & Trademark agreements and monitors compliance
  • Ensure compliance with other accrediting bodies and oversees renewal as required
  • Acts as Privacy Officer, ensuring compliance with established policies and legislation

Human Resources

  • Oversee implementation of human resources and talent management strategies and plans with periodic reporting
  • Ensure organization is compliant with relevant employment legislation
  • Oversee all payroll functions to ensure that employees are paid in a timely and accurate manner; submit all statutory remittances
  • Negotiate and manage the employee insurance and benefits plans
  • Participate in recommendations for improvements and changes to ensure health and safety for all staff

Information Technology

  • Lead and implement national solutions regarding the future state of technology and optimizing current information technology demands
  • Ensure that information technology systems are maintained, controlled, secured and backed up
  • Negotiate and liaise with external information technology professionals and vendors for organizational information technology, digital and wireless needs
  • Oversee data processing, ensuring accurate and timely data input, reports and analysis

Enterprise Risk Management

  • Oversee and maintain the organization’s risk mitigation program and register; work with the Senior Management Team on mitigation strategies, which will include safeguarding assets through insurance, internal controls, policies and procedures
  • Manage the organization’s emergency procedures and practices

Facilities Management

  • Develop long-term vision on facilities and accommodations requirements
  • Negotiate insurance arrangements and support/provide guidance the Manager, Finance & Operations regarding utility contracts, leases, and other agreements
  • Support the Manager, Finance & Operations when required to coordinate all facilities maintenance issues for a safe and reliable workplace in accordance with health and safety legislation

Leadership

  • Provide strategic counsel to the Senior Management Team on matters related to finance and operations
  • As a member of the Senior Management Team, act as a representative on behalf of the organization at formal and informal functions
  • Model leadership competencies that align with the organization’s core values
  • Recruit and manage finance and operations staff
  • Motivate, coach and develop finance staff through work plans and performance appraisals
  • Perform other duties as needed to ensure the safe and effective operations of the organization

Our Ideal Candidate Will Possess

  • University degree or college diploma in accounting, commerce or business management
  • Accounting designation preferred
  • Minimum five years of progressive experience in full-cycle financial management, development, reporting and audit
  • Experience or exposure to the Canadian Accounting Standards for Not-for-Profit Organizations would be viewed as an asset
  • Well-developed verbal and written communication, presentation skills and the ability to prepare narratives and synthesize information clearly
  • Human resource, talent management and information technology expertise
  • Proficient in using accounting software, databases, spreadsheets and word processing programs
  • Exceptional interpersonal and communication skills and the ability to establish and maintain effective working relationships with internal and external stakeholders
  • Knowledge of board governance and working with a board of directors is an asset
  • Demonstrates the ability to lead by setting clear direction and translating strategies into focused and aligned goals, specific accountabilities and action plans that are results oriented
  • Flexibility to deal with multiple pressures and needs in an ever-changing environment
  • Current clear Police Records Check and acceptable credit score
  • Valid Ontario driver’s license and access to a vehicle with a minimum of $1,000,000 insurance coverage preferred
