Job title: Event & Engagement Specialist
Job description: Establishing an annual event calendar in conjunction with regional and corporate requirements;
Coordinating, scheduling and populating the company calendar ensuring organizational initiatives and projects are successfully communicated to employees and/or residents;
Planning, editing, writing content to support events in collaboration with marketing team members;
Responding to feedback and adjusting communication plans accordingly;
Working closely with other team members developing marketing kits to support rollout and participation of events and company initiatives;
Planning events from start to finish with support and input from others including all logistics i.e. booking event space, arranging food and beverage, ordering supplies and AV equipment, communicating event logistics, ordering event signs, and ensuring appropriate materials are available on-site to meet the quality and brand expectations;
Negotiating with and serving as a liaison with vendors on event-related matters;
Preparing nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc. for in-person events;
Participating and providing oversight throughout events including managing clean up post-events activities;
Hosting creative brainstorming sessions, leveraging focus groups to gather new ideas that are innovative;
Completing Post Surveys and analysis to report on participation and effectiveness of overall company programming, and
Other related activities to support team goals.
Job Requirements: Professional event coordination and event management experience in a hospitality related industry
Excellent communication skills, including writing, proof reading skills, and public speaking
Creative ability to devise communication strategies to align with events
Ability to manage multiple projects and work assignments
Excellent interpersonal skills both in-person and by phone, with high professionalism
Ability to accomplish projects with little supervision
Eagerness to learn and assume responsibility
Proactively working to improve all events and internal processes
Exceptional service ethic and high expectations for quality
Fast learner with ability to quickly assess a situation and make decisions with independent judgment to answer questions and move items forward
Proficiency in use of MS Office and marketing tools
Evening and weekend hours are required to support events and community activities
Business professional work environment
Moderate travel may be required in Ontario and Quebec during peak seasons
A vehicle and G license is required to fulfill requirements of the role
French proficiency is an asset
