You can learn more about us by exploring our website (https://www1.brampton.ca/EN/Arts-Culture-Tourism/Cultural-Services/BAO/Pages/Welcome.aspx).Your Opportunity!The Brampton Arts Organization (BAO) is recruiting for a Permanent Part-Time, Hybrid Finance & Administrative Coordinator to provide comprehensive support to the BAO team and our service collaborators (Programming, Bookkeeping, Human Resources, Legal, etc.). This position offers a hybrid work arrangement and requires the right person to work three days per week, with one of those three days being on-site.For best consideration, please apply by April 14, 2024. We are hoping to fill this position by April 29, 2024, but our commitment to finding the right fit may require more time.Key Responsibilities:
- Support financial initiatives by participating in financial forecasting, assisting with the preparation of annual budgets, scheduling expenditures, analyzing variances, and initiating corrective action(s) at the direction of the Executive Director
- Process financial transactions and provide invoices when necessary
- Track accounts payable and accounts receivable
- Assist with reconciliation, financial forecasting, and the preparation of financial reports
- Assist with day-to-day bookkeeping
- Provide support with contracts with stakeholders by ensuring payments are received in accordance with the contract, monitoring key contractual dates, etc.
- Provide outstanding customer service by receiving and directing enquiries appropriately while adhering to all relevant policies and procedures; prioritize enquiries based on urgency/importance
- Create, maintain, and manage relationships with artists, cultural organizations, and institutions in Brampton and beyond
- Prepare and distribute reports, proposals, grant applications, presentations, and other correspondence
- Research and assist with the preparation of policies and procedures
- Maintain files and confidential records while keeping corporate compliance in mind
- Maintain BAO’s internal database and other web-based records in a timely manner
- Maintain detailed project documentation and ensure that all the necessary sign offs/approvals meet all relevant policy and confidentiality requirements
- Schedule meetings, events, travel, etc. as necessary (i.e., board meetings, Executive Director’s scheduling as needed, conferences, various travel arrangements, etc.); prioritize scheduling based on urgency/importance
- Collaborate with the Board Chair and Executive Director to prepare the agenda for monthly board meetings; distribute the agenda and other supporting documentation
- Attend monthly board meetings as Recording Secretary and take accurate meeting minutes in accordance with Robert’s Rules of Order
- Liaise between the Board of Directors and the not-for-profit’s legal counsel regarding various legal matters (i.e., compliance issues, legal documentation, seeking legal advice, etc.)
- Facilitate regular communication with board members and oversee the logistics for board meetings
- Work with various teams, stakeholders, and/or consultants and participate in meetings when required to implement projects and initiatives
- Other duties, as assigned
