Job description: Position Summary:
Under the direction of the Finance, Planning & Resources Manager, the Finance Officer (FO) will support the Dean and the Library in providing key financial analysis and recommendations aligned to support the strategic focus and mission of the unit. The FO is responsible for financial management and budget development activities of all funds within the unit’s jurisdiction.
Primary Responsibilities:
· Analyze, prepare, and review statistical and financial data for inclusion in internal and external reports on a monthly and quarterly basis and as required. Investigate discrepancies and variances discovered and present findings and possible resolutions to management.
· Compile data for, and prepare regularly scheduled and special accounting reports, analysis and statements. Includes preparing monthly financial reports, year-end variance analyses, balance sheet schedules and other reports for Library & Archives, Financial Services and McGill’s external auditors.
· Produce ongoing reports and develop new reports to improve usability, accuracy, and overall user experience to end users. Provide further data and financial advice as requested.
· Make/initiate financial transactions, such as journal entries, budget entries, and purchase orders, as required to meet the needs of the unit operations.
· Participate and support all budget and forecast exercises. Develop reports and tools to help streamline work for these tasks whenever possible.
· Ensure all financial transactions adhere to polices set-forth by McGill University and Library & Archives. Report all non-compliant or suspect transactions to manager.
· Liaise with library’s administrators to ensure that financial tools are in place meet their requirements. Make the necessary changes where possible.
· Design and implement accounting methods and procedures to improve accounting services and reporting.
· Determine the best approach to resolve financial issues between departments, vendors, accounting, and fund holders. Provide guidance when requested.
· Development, maintenance, and clear documentation of internal procedures. Updates to intranet and end users when necessary.
Education & experience:
Undergraduate degree (BComm) with three (3) years’ related experience
OR
DEC III, with five (5) years’ related experience
Other Qualifying Skills and/or Abilities
· Extensive knowledge of Excel (pivot tables, complex formulas, …)
· Extensive knowledge of accounting standards and financial management with excellent analytical and problem solving skills.
· Demonstrated ability creating comprehensive financial statements; preparing reports for financial auditors; working with complex formulas and creating detailed professional reports. Proficiency with computerized applications including spreadsheets, databases, word-processing software, Banner FIS, Crystal reports, Tableau, and Workday.
· Ability to manage multiple funds and prepare detailed budgets with tight deadlines.
· Knowledge of McGill fund types (or other University) including experience working with research and student grants.
· Ability to effectively communicate and interact with various levels of staff and academics. Service-oriented with excellent customer service skills and the ability to establish productive working relationships quickly.
· Proven organizational skills, ability to multitask, prioritize and meet deadlines.
· Proven ability to work autonomously and as part of a team.
· Ability to train and motivate staff.
· Proven success in facilitating and maintaining strong, consistent, and positive communications to a diverse audience.
· Demonstrated spoken and written communication skills in both English and French.
Minimum Education and Experience: Bachelor’s Degree 3 Years Related Experience with Bachelor’s Degree /
Annual Salary: (MPEX Grade 05) $64,210.00 – $96,310.00
