Finance Officer

Classification: Pay Grade 4 Date: April 27, 2021

Reports to: Controller
Closing Date: May 12th, 2021

Job Summary:

The Finance officer assists in the preparation of monthly financial statements in accordance with the policies and directives established by the Board and within Generally Accepted Accounting Principles.

Principal Duties:

Accounts Receivable

  • Create and distribute receivable invoices and debit notes
  • Maintain accounts receivable customer files and records
  • Verifies and enters receipts for payment of invoices
  • Reconciles accounts receivable module with control account; reviews aged accounts receivable on a regular basis
  • Discuss and follow-up on outstanding invoices

Bank Entries

  • Verify cash receipts for YSB and the YSB Charitable Foundation and prepare bank deposits
  • Record deposits into SAGE 300
  • Assist in the preparation of monthly bank reconciliations for YSB and the YSB Charitable Foundation

Payroll

  • Assist with the preparation of payroll for Employment participants in Sage 300

Financial Statements

  • Process journal entries, budget transfers and other related adjustments to the accounting system
  • Assist in the preparation of monthly financial statements for YSB programs and projects and the YSB Charitable Foundation
  • Interpret and post data from third party accounting system for the Housing programs
  • Prepare general ledger reports and other financial reports
  • Produce various reports for senior management to review

Analysis

  • Monthly and/or quarterly reconciliation of various balance sheet accounts
  • Provide reports and assist in the preparation of the annual budget for the organization
  • Provide analysis of revenue and expenses when required

Audit

  • Assist in the preparation of year end reports and schedules
  • Assist in preparation of audit working papers, for YSB and the YSB Charitable Foundation
  • Assist in the preparation of audited financial statements, including project audit reports

Other

  • Provide assistance to Accounts Payable as required
  • Some duties may be realigned to ensure proper control and segregation of duties
  • Some duties may be temporarily and periodically realigned to allow backup to other positions
  • Other duties as required and assigned
  • Follows safe work practices as established by the YSB and the Program.

Job Specifications/Qualifications:

  • Diploma or degree in accounting/ bookkeeping
  • 4 years of related job experience; Non-profit experience would be considered an asset
  • Good knowledge of accounting principles
  • Intermediate to advanced proficiency in Sage 300, Microsoft Excel and Office 365
  • Ability to communicate with a diverse group of internal and external individuals
  • Must possess a high degree of attention to detail and organization
  • Good analytical, decision-making and problem solving skills
  • Ability to work independently in a fast-paced, multi-tasking environment with minimal supervision
  • Oral and written fluency in English essential; Oral fluency in French will be considered an asset
  • Knowledge and expertise in computerized systems
