Job title: Front Desk Administrative Assistant
Job description: Marcus & Millichap, the nation’s leading commercial real estate investment company with 80+ offices nationally, is seeking a Front Desk Administrative Assistant for their Vancouver office. This role provides administrative, telephone, and training support to the Agents, Assistants and Management of the office, reporting directly to the Operations Manager.
The ideal candidate for this fast-paced, high-energy, innovative environment will not only possess well-developed administration skills but also bring ‘added value’ to the team with talents in either graphic design, training, marketing or have a tech savvy background. Most important trait of all, you must be a natural ‘people’ person with a can-do and will-do attitude.
Front Desk and Brokerage Support:
- Transactional tasks such as processing new listings, proofing and editing marketing materials according to published editorial style guide, ensuring legal compliance according to state/country regulations, processing revisions, and maintaining well-organized & complete files.
- Copy, scan and bind documents/marketing materials as requested by Agents.
- Answer phone and route calls using switchboard in a courteous, efficient and professional manner and act as relief person for other offices when needed.
- Set up equipment for webinars, workshops, and meetings according to office calendar.
- Greet and announce visitors in a courteous, professional manner.
- Maintain front desk, break area and conference rooms to ensure cleanliness and organization prior to and after meetings or events.
- Use of postage machine for daily mail processing. Accept and distribute package delivery.
- Maintain inventory of office and coffee supplies to ensure proper stock level at all times.
- Ensure printers and fax machines are supplied with paper and toner for daily and weekend use.
- Perform other duties as assigned by Operations Manager or Regional Manager.
Required Knowledge and/or Experience:
- Strong computer skills including Office 365 Suite (Outlook, Excel, Word, PowerPoint, OneDrive)
- Strong editing skills, i.e., spelling, grammar, punctuation
- Experience planning, organizing and executing multiple assignments, tasks and projects
- Ability to prioritize tasks and work efficiently under pressure.
- Professional appearance and demeanor
- Possess a friendly, proactive attitude and a strong desire to learn and progress within the firm
- 2+ years administrative experience preferred
- Experience in Adobe Suite software a plus (InDesign, Photoshop, Illustrator)
- Minimum Education: High School Diploma/equivalent
