Job description: Our client is an innovative non-profit organization established in 1978. They are dedicated to supporting adults with intellectual and developmental disabilities so they can live full, productive, and meaningful lives. They have over 500 employees and work with over 400 individuals throughout the Lower Mainland.

The Accounting Assistant role falls within the Finance Department and is a key support to the team. You will be responsible for liaising with the bank, field managers, and general support to the accounting team. You will cover the Accounts Payable person for all vacation and leaves.

This is an entry-level role requiring a minimum of one year of office experience and either a diploma or degree in Business Administration, commerce, or Math.

We are looking for an individual with excellent communication skills as you will be relaying information to a wide range of stakeholders.

Responsibilities:

Daily / as needed:

  • Administration of program-level Bank Accounts and supporting Operations Department Staff with related banking administration needs.
  • Review and manage the Accounts Payable email inbox requests and respond promptly to internal and external inquiries.
  • Produce reports, reconciliations, and filings for the Finance Management team as required.
  • Provide support to other departments as needed.

Weekly:

  • Ensure expenses are recognized in accordance with contracted terms and conditions as well as the accounting framework.
  • Timely and accurate monthly processing and reconciliation of expenses, prepaid expenses, accounts payable, and cash disbursements.
  • Monitoring outstanding payables, and subsequent follow-up with vendors and/or the Operations Department as required.
  • Maintenance of supporting documentation, bills, and signed final vendor contracts for ongoing review requirements.

Monthly:

  • Reconcile expenses, prepaid, accounts payables, and cash disbursements, to ensure expenses are recognized in accordance with Accounting Standards for Not-For-Profits and Accounting Standards for Private Enterprise.
  • Ensure expenses are coded correctly to the appropriate program and funding stream.
  • Complete variance analysis to verify expenses are aligned with expectations and budgets.

Qualifications:

  • Organized with excellent communication and documentation skills.
  • Diploma and/or bachelor’s degree with a preference in Commerce; Business Administration; Mathematics and or a relevant discipline,
  • A minimum of one to three experience working in an accounting role
  • Excellent working knowledge of Microsoft Word and Microsoft Excel is required.
  • Experience analyzing and processing high volumes of information.
  • Organized with excellent communication and documentation skills.
  • Strong attention to detail and experience analyzing high volumes of information.
  • Have the ability to analyze data and exercise sound judgment on the reasonableness of inputs.
  • Are able to manage your own workload in a dynamic environment while delivering a high standard of work.
  • Have a strong aptitude for working with numbers and understand the fundamentals of
  • budgets, operating budgets, and analysis;
  • Are able to multitask and be flexible while working independently and in a team.
  • Have a proven ability to establish and maintain positive and productive working relationships with internal and external stakeholders.
