Position Type: Part Time

Regal Security, Inc. is currently looking for a General Office Administrator for a location in Welland. The successful candidate will be our ambassador and represent the best interest of Regal Security Inc. Additionally, they will perform general office duties, facilitate daily operations and provide support to the Executive Team, Senior Operations Manager, Human Resources, and office at large. An ideal entry-level office position for those looking to join a company and work from the ground up.

Core Duties and Responsibilities:

  • Complete opening and closing procedures of the office on a daily basis, inclusive of door locks, lights, and televisions;
  • Ensure clean and orderly office environment, inclusive of loading and unloading dishwasher, emptying garbage in common areas, requesting and stocking up supplies, unisex bathrooms are orderly and supplied, etc.;
  • Review, respond and forward incoming mail, phone calls, and emails sent to the office on a daily basis;
  • Perform telephone pre-interview screens of all new hire candidates for guarding level positions;
  • New hires process: planning, training days; printing and organizing paperwork; arrange uniform fitting and collection of deposits for it;
  • Oversee employee uniform system, inclusive of sizing and issuing employees for uniforms, tracking uniform refreshing, completing a weekly inventory of uniform pieces, requesting and getting approval for uniform purchases and other assets as identified, arrange uniform returns and uniform deposit payout
  • Track and issue cheques held at the office for pick up;
  • Arrange outgoing mail, couriers, and/or uniforms to be sent out;
  • Work to keep levels of supplies for office and cleaning as decided by the the executive;
  • Maintain phone lists, alarm codes (list), fob and key assignments, and Key Box;

Occasional Duties and Responsibilities:

  • Assist in the maintenance of Employee List, HR Systems, and various tracking lists;
  • Participate in Career Fairs and Recruitment Sessions;
  • Assist and/or plan client events and/or internal events;
  • Attend and participate in staff meetings as requested and take minutes, as may be required;

Required Qualifications:

  • Ability to work in Canada
  • Ability to work schedule as assigned and any required times in addition as required. The predominant schedule will be Monday through Friday during the daytime
  • At least one year of administrative experience in a fast-paced working environment or in the security front desk environment
  • Demonstrated customer service skills and ability to manage difficult customer situations
  • Clear English communication verbal and written
  • Proficient software computer skills including Apple software, Google Doc and Microsoft Office;

The Ideal Candidate will also demonstrate (a):

  • Detailed and meticulous administration skills and experience with a strong emphasis of documentation of changes and organization of paperwork;
  • Professional communication in a verbal and written capacity
  • Practiced front desk demeanour and presentation
  • Exceptional customer service and conflict resolution skills to handle complaints from employees and clients (verbal and written) and generating positive results;
  • Ability to take on projects and improve current operating structures
  • Able to troubleshoot and operate general office equipment (phones, printer/copier);
  • Ability to meet time-sensitive deadlines and manage multiple priorities
