Job description: Reporting to the Director of the Office of Graduate Studies and Postdoctoral Studies, the Graduate Scholarships Officer is one of two positions serving as the University External Liaison for all provincial, national, and international graduate student scholarship/funding agencies. The Graduate Scholarships Officer possesses comprehensive knowledge of external award terms, conditions, and regulations. This role is crucial in maintaining consistent communication channels to ensure that the most up-to-date information is accurately understood and conveyed. Moreover, this position is responsible for university-wide internal graduate scholarships, making certain that committees and departments remain informed about the latest information and changes to scholarship terms, conditions, guidelines, and ensuring that feedback is consistently provided.

This role shares the overall responsibility for coordinating university-wide internal and external awards competitions and committees. This involves establishing and collaborating with ranking committees, overseeing the entire awards process-from implementation to maintenance-ensuring that all actions align with the established terms, conditions, university policies, and regulations.

The incumbent oversees the financial planning, tracking, and reporting of external scholarships to their respective agencies. They also manage the tracking of internal scholarships, financial forecasting, and the year-end reconciliation of accounts.

Furthermore, the incumbent offers outreach and support regarding postdoctoral scholars & awards processes. They provide financial guidance to departments, faculty, postdocs, and students through annual public presentations, workshops, and individual meetings. They are also tasked with additional duties to research and bolster graduate scholarship efforts at the University of Guelph, which includes committee membership.

Position requirements include the successful completion of a post-secondary degree and relevant experience, or an equivalent blend of both. The ideal candidate should be proficient in various computer applications such as the Colleague (Student Information System), Microsoft Office (including Excel, Access, PowerPoint, Word, SharePoint, OneDrive and Visio), Adobe Acrobat, FilePro, and email systems. Exceptional communication and presentation abilities, especially in public speaking, coupled with strong analytical, research, organizational, and human relations skills are essential. A foundational understanding of accounting or finance is highly recommended. Experience in Graduate Studies is preferred, and familiarity with University systems and academic structures will be viewed as an asset.
