Job Description

Reporting to the Chief Legal and Government Relations Officer and Corporate Secretary, the incumbent is responsible for following up on files and projects in addition to assuming certain administrative tasks for the entire team.

Main Responsibilities

  • Assists the Chief Legal Officer with files including, but not limited to, acquisitions, mergers, partnerships, financings, reorganizations and other highly confidential projects.
  • Coordinate the agenda of the Chief Legal Officer other team members.
  • Review the Chief Legal Officer’s emails and file them in the appropriate directories.
  • Assist the Assistant Corporate Secretary in her corporate files as needed.
  • Transcribe and/or draft letters, emails, memos, weekly minutes of group calls from legal counsel and government relations (including managing agendas for these calls) and other documents.
  • In collaboration with the Chief Legal Officer and the Assistant Corporate Secretary, organize the meetings of the Board of Directors of Transat and its committees, including notices of meetings, agendas and all required documentation to be sent to the directors for these meetings.
  • Manage the calendar of meetings of the Board of Directors and the committees of the Board of Transat
  • Review documents when required, including, among others, the review of the minutes of the meetings of the Board of Directors of Transat and its committees, the annual information form and the proxy circular in French and English.
  • Translate documents, when required, using Deepl.
  • Assist and prepare documentation for Transat’s annual general meetings of shareholders to ensure the smooth running of the meetings.
  • Follow up on files including the management of various document signatures and other tasks requiring follow-up.
  • Prepare expense reports for the Chief Legal Officer, the Vice President, Government Relations and the Directors of Transat.
  • Process invoice payment requests.
  • All other related tasks as required.
  • Telecommuting in hybrid mode (minimum 3 to 4 days in the office, as needed)

Qualifications

  • College diploma in secretariat or pertinent studies or Diploma of College Studies (DEC) in Paralegal Technology;
  • 7 to 10 years’ experience in a similar position;
  • Experience in legal secretarial work is essential;
  • Experience in the field of business law, an asset;
  • Bilingualism, French and English, both oral and written ;
  • Organizational skills, efficiency, thoroughness and autonomy;
  • Discretion and professionalism, sense of hospitality.
  • Excellent knowledge of Word, Excel and Powerpoint..
