The Division of Student Affairs helps to transform students’ lives by supporting and inspiring the highest standards of student learning and success, community engagement and staff development. The Division is comprised of 26 reporting units in four departments: Athletics and Recreation, Campus Services, Office of the Registrar, and Student Services. Student Services places student learning at the centre of all efforts by supporting their academic endeavors and enhancing their personal, social, cultural and cognitive development. The Academic Advising Centre (AAC) is a unit in Student Services. The AAC helps undergraduate students in the Faculties of Humanities, Science and Social Sciences navigate and ensure that their graduation requirements are
complete, whether they are newly-admitted, first-year or current undergraduates.

The salary range for this position is:

Recruitment range: $63,696 – $71,690 starting salary determined by the PEA .

Performance range: starting salary to max of $83,264 is available through annual performance increases.

Job Summary

The Manager, Information Systems (MIS) supports the Academic Advising Centre and our work with the Faculties of Humanities, Science and Social Sciences by providing leadership and systems expertise in implementing information management systems for academic advising:

  • In collaboration with the Director and AAC leadership team, leading the implementation of information management policies, procedures, and guidelines for the Academic Advising Centre.
  • In coordination with University Systems and the Office of the Registrar, researching, designing, implementing and monitoring new online administrative and technical information management systems and enhancing functionality for existing solutions to align with the needs of staff, faculty and students, assessing and recommending options for short- and long- term solutions for the portfolio.
  • Coordinating the review and analysis of business processes for the AAC, in consultation with academic units, with the goal of advancing operations in a paperless records management system.
  • Working with the Director and AAC leadership team on assessment of academic advising and providing expertise related to the use of technology in support of assessment.
  • Supervising the Data and Applications Coordinator and overseeing maintenance of the AAC analytics platforms, websites, and digital displays.

The Manager supports the work of AAC by applying Council for Advancement of Standards (CAS Standards) and contemporary student development theory to determine effective use of technology in support of innovative curriculum for on-campus student academic success programs and initiatives. In addition, the Manager maintains a small advising caseload. The day-to-day work of the Manager includes responding to a broad range of queries from faculty and staff including telephone and email enquiries related to information systems.

As a result of the nature of the duties and responsibilities of this position, occasional evening and weekend work may be required.

Job Requirements

The Manager requires an undergraduate degree in a computer science discipline with a minimum of three years of experience, including:

  • Technical and administrative project implementation and oversight within a formal project management framework environment.
  • The research and design of large, complex and integrated application systems.
  • The use of computer systems for records management, particularly web-based technologies, and relational databases.
  • The development of reports for obtaining critical data and establishing and evaluating metrics in support of system use and program assessment.
  • Knowledge and experience in the administrative and technical functions of academic advising, student records management, and requirements of the relevant functional environments.
  • An equivalent combination of education and experience may be considered.

In addition, this position requires:

  • Expertise with project management principles and methodology.
  • Excellent analytical, critical thinking and problem-solving skills.
  • Excellent communication skills, including verbal, written, presentation and training.
  • Ability to work independently to gather, analyze, and organize data, define problems and requirements, and recommend solutions.
  • Ability to build and maintain productive working relationships with diverse stakeholders.
  • Excellent conflict resolution and negotiation skills.
  • Ability to influence and persuade others and work collaboratively and cooperatively with colleagues in Student Affairs, University Systems, and other units at UVic to achieve goals.
  • Ability to work effectively both independently and in a team-based environment.
  • Ability and willingness to be flexible and adaptable to changing priorities.
  • Strong leadership skills and a demonstrated ability to motivate and sustain change during transition are required to fulfill this role.

The Manager will appreciate and embrace the value and role of Student Services and Student Affairs in higher education and will work with multiple campus stakeholders through strong collaboration and proactive initiatives. The Manager is aware of and skilled at applying modern student development pedagogy to all aspects of program and service delivery within academic advising and international student services.

Preference may be given to experience working in academic advising, international student services or student information systems (in particular Banner and FAST environments) in a university, post- secondary, or comparable large and complex work environment.

Experience in communicating with students; creating a virtual presence through the use of websites, social media, video production; delivering workshops and presentations; organizing major events and/or programs within a higher education environment is also valued.
