Job Summary
The Market Sales Coordinator coordinates the sale of UBC Farm products at outdoor public markets.

Organizational Status
Works under the supervision of the Lead Sales Coordinator, who oversees the sale and distribution of farm products overall. (Other sales and distribution channels of the farm include direct sales to food service providers, a community supported agriculture program, and donations to community organizations). Collaborates regularly with other staff on the field and sales teams. Supervises the work of a small number of students, student employees, and volunteers at markets.

Work Performed

Coordinates the set-up and take down of the UBC Farm market stall and the sale of produce at the Tuesday Evening, Wednesday Campus and Saturday Markets, as well as at occasional special events and/or outreach markets as required.

Supervises the work of junior employees, students and volunteers at the markets to ensure smooth and efficient functioning of the UBC farm stall; provides ongoing training and meaningful feedback on their work.

Helps to ensure that food safety procedures are followed. Coordinates the performance and documentation of regular sanitation procedures.

Ensures the market stall is aesthetically appealing, well organized and contains appropriate product information material as well as accurate CSFS promotional material.

Maintains a high standard of customer service; regularly communicates with customers and market volunteers in person, via phone, and email, responding to customer inquiries, concerns, and complaints.

Provides produce information in a friendly and informative manner while interacting with market customers.

Assists the Lead Sales Coordinator with creating weekly harvest plans for market sales.

Responsible for till management, point of sale (POS) reports and cash deposits.

Ensures all POS system devices are properly used and stored.

Maintains and helps improve point of sale (POS) record keeping infrastructure.

Cashiers at the markets, ringing customers up and collecting credit card, cash and cheque payments.

Ensures sales staff follow Payment Card Industry best practices when working with payment cards.

Assists with deliveries of produce to restaurants as required.

Assists with the operation of the Community Supported Agriculture (CSA) program as required.

Assists with field work and group tasks, especially produce harvest and processing.

Responsible for maintaining an inventory of post-harvest processing supplies.

Assists with post-harvest processing infrastructure maintenance and improvements.

Works in collaboration with the communications team to provide weekly content for the UBC Farm newsletter.

Contributes to written plans, manuals, procedures, and end of year reports.

Responsible for the creation and maintenance of e-payment forms for miscellaneous sales channels and one-time sales.

Performs other duties as required.

Consequence of Error/Judgement
The Market Sales Coordinator is a representative of the CSFS and the Faculty of Land and Food Systems. This individual’s approach and delivery of information in dealing with the general public and a variety of site users present at the UBC Farm site reflect on these units. Therefore, ensuring a high regard for professionalism, safety, and adherence to UBC policies is of considerable importance. When dealing with equipment, the Market Sales Coordinator will need to critically assess each operation before proceeding in order to ensure the safety of all individuals involved. When using high-powered equipment, poor judgment of the operating conditions and context can result in operator injury or death. The CSFS at UBC Farm operates on a cost-recovery basis and farm produce sales are a significant source of operating revenue. It is the responsibility of the Market Sales Coordinator to responsibly and accurately oversee the till management at the UBC Farm market stall, count before cash and after markets, create deposits, and maintain a detailed financial record of these operations. These sales activities and associated record keeping intrinsically form a part of the academic programming at the CSFS and substantially inform cropping decisions. Sales data collected by the Market Sales Coordinator provides the raw material that allows the development of an academically diverse range of studies conducted by faculty, staff and students, research projects and agriculture at the UBC Farm site.

Supervision Received

Reports to and works under the general supervision of the Lead Sales Coordinator. Receives training and guidance for new, difficult, and unusual assignments and situations, but must exercise initiative in the performance of most duties. Must show a significant degree of autonomy and be able to make day-to-day decisions independently, but will refer unusual problems and high-impact decisions to the Lead Sales Coordinator. Evaluation of the performance of major job responsibilities will include reviews of quality and effectiveness in achieving program objectives and financial viability, as well as adherence to the CSFS’ mission and vision.

Supervision Given
May oversee and direct the work of a small group of junior staff or student employees. May provide input into seasonal staff selection and performance evaluation. Trains and supervises new employees, students, and volunteers; and is responsible for the accuracy, production and control of the work.

Minimum Qualifications
Completion of a technical program and a minimum two years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications

Completion of a relevant university degree is an asset.

Relevant work experience selling produce at a farmers’ market or an on-farm produce stand.

Other experience in the agricultural, food, retail, and/or customer service industries is an asset.

Experience with money handling or cashiering is an asset.

Experience working within a large public-sector organization (e.g. a university or government organization) is an asset.

Familiarity with the UBC Farm site, and the CSFS at UBC Farm vision, mission and operations is an asset.

Excellent customer service and communication skills (both written and verbal); able to communicate with the general public with diplomacy and tact as a representative of the CSFS.

Demonstrated group leadership skills.

Self-motivated, highly adaptable, able to identify and prioritize tasks with minimal supervision.

Demonstrated ability to work quickly, efficiently and calmly in high-stress environments and for occasional long hours in any weather and bring tasks to completion under tight deadlines.

Excellent interpersonal skills; able to work independently and within a high-energy team environment.

Strong organizational and computer skills (intermediate level Excel skills).

Knowledge of local and organic agricultural practices and trends is an asset. Preference will be given to candidates who have some organic farming or gardening experience.

Must be in good physical shape and must be able to lift and carry 45 lbs. repetitively.

Valid Class 5 driver’s license required; access to a cell phone is an asset.

Market Safe and/or Food Safety, Level 1 training (or willingness to obtain it).
