Medical Affairs Project & Planning Coordinator
YOUR TASKS AND RESPONSIBILITIES
The primary responsibilities of this role, Medical Affairs Project & Planning Coordinator, are to:
Provides ongoing strategic project management budget oversight, system and budget tracking, and administrative support (40-60%) to the Medical Affairs team(s).
Key Tasks:
- Provide a full range of strategic project management, systems proficiency and administrative support to the medical affairs TA teams
- Assist with change management activities as they relate to roll out of new processes or systems that impact the medical team(s)
- Support accurate cost center and budget management including creation of Purchase Orders, Vendor Setup, Accrual tracking etc.
- Prepare HCP agreements for various programs and projects and follow through with honorarium and expense payments as required
- Review grants submitted by external stakeholders to ensure they meet documentation requirements as per SOPs and that proper follow up is completed.
- Extract information / reports from various Bayer systems and collate for management review (e.g. help with tracking TA departmental budgets)
- Assist with tracking of external medical materials to ensure approval status is maintained
- Responsible for employee onboarding and offboarding tasks, maintaining distribution lists, long-term document management for team and translation requests
- Provide internal meeting support (visitor handling, scheduling, organization, planning)
- For in person or virtual external meetings (including but not limited to medical congresses, advisory boards and OLAs), coordinate organization, logistics, travel & accommodation, documentation while considering departmental / corporate SOPs and the Innovation Medicines Canada Code of Ethical Practices

- Post-secondary education in project management / administrative studies or an equivalent combination of education and experience
- Strong project / time management skills with ability to balance strategic ‘big picture’ thinking and attention to detail
- Proactive approach to problem solving with strong and independent decision-making skills
- Customer focused and can develop, champion, and maintain positive relationships with internal / external stakeholders
- Strong written and verbal communications skills
- Proficient in use of software programs including but not limited to MS Office, Sharepoint, Veeva, Concur etc. Experience with analytical tools such as Tableau would be considered an asset.
