Office and Finance Administrator

The Southern Alberta Chapter of the Canadian Parks and Wilderness Society (CPAWS SAB) is seeking an experienced Office and Finance Administrator to join our team in Calgary, Alberta. Reporting to the Executive Director and supporting the Program Directors, the Office and Finance Administrator is responsible for managing the financial, administrative and personnel aspects of the organization.

The Canadian Parks and Wilderness Society (CPAWS) is a voice for nature. We are a non-profit environmental organization working to protect half of Canada’s public land and water. Since 1967, CPAWS Southern Alberta Chapter has led conservation efforts to protect areas in Banff National Park, Kananaskis, the Whaleback and the Castle. We encourage and support all Albertans to connect with nature and become stewards for our natural landscape. Our chapter is also a leader in environmental education, offering award-winning programs to help build the next generation of environmental stewards.

Principle Responsibilities

Financial Management (30%)

Responsible for all aspects of financial management

  • Maintain organizational and project budgets with Executive Director and/or Program Director oversight
  • Provide monthly budget vs. actual reports to Executive Director and any other financial report requests
  • Monitor accounts receivable and provide cash flow projections as requested
  • Manage accounts payable, VISA account, accounts receivable, deposits, payroll, and employee expense transactions
  • Liaise with payroll company
  • Administer CRA remittances and filings
  • Prepare bank reconciliations
  • Maintain accounting system using QuickBooks Online
  • Prepare quarterly financial reports to board
  • Oversee preparation of audited financial statements
  • Maintain society in good standing with Corporate Affairs filing
  • Develop and implement fiscal policies and processes
  • Oversee annual casino event and all relevant reporting

Administration/Office Management (30%)

This position is the administrative engine that keeps the organization humming

  • Daily management of main phone, infosab@cpaws.org email, mail, and office communication
  • Maintain digital and hard-copy filing system
  • Maintain office and building supplies
  • Oversee the physical space, equipment and facility needs of the organization (liaise with landlord and management of trades)
  • Contact person for accounts (phone, internet, insurance, etc.)
  • Maintain and streamline office systems
  • Support organization of AGM and assist with other events as needed

Human Resources (10%)

Manage hiring processes with Executive Director oversight

  • Administer payroll and benefits program (RRSP and health/dental)
  • Manage personnel processes (personnel files, track evaluations, up to date job descriptions, workplans and contracts)
  • Manage contractor contracts
  • Administer personnel policies including orienting new staff to policies, informing existing staff of changes and enforcing policies as needed

Fundraising (15%)

Support team fundraising efforts and provide all financial data

  • Maintain schedule of deadlines for proposals and reports
  • Liaise with funders as requested by Executive Director and/or Program Directors
  • Proposals: provide all financial and organizational information required, support Directors as required
  • Reporting: provide all financial information, assist Directors as required
  • National reporting: submit quarterly financials, bi-annual reports, conservation plan reports, audited financial statements, and revenue estimates. Support Executive Director with national relations and communications as needed.

Other (15%)

  • Liaise with National Office in matters of finance, fundraising, reporting and administration
  • Participate in weekly staff meetings
  • Participate in program and communications meetings as time and relevance permits
  • Participate in development of strategic documents and campaign plans
  • Other duties as assigned by Executive Director

Knowledge and Experience

  • Accounting/bookkeeping designation or equivalent work experience
  • Proficiency with QuickBooks Online
  • At least two years of employment experience in a related field
  • Experience with non-profit accounting
  • Experience with charitable fund management
  • Strong analytical capabilities with an interest in problem solving
  • Experience in financial reporting and analysis
  • Operational experience and aptitude
  • Proficiency with MS Office Suite and Office 365 with advanced experience in excel
  • Strong communication skills. Ability to ask clarifying questions and communicate information regarding accounting and finances
  • Strong interpersonal skills and diplomacy
  • Understanding and support of CPAWS SAB’s mission and values
  • Valid drivers license

Anticipated start date: May/June 2021
Duration of position: Permanent Part-time, 30 hrs/week
Compensation: $40,000 – $45,000 (commensurate on experience), full benefits package, 3 weeks vacation + Christmas break closure, and 5 wilderness days/year

Location details: CPAWS SAB Office – 88 Canada Olympic Way, Calgary Alberta. Flexibility to work remotely while COVID-19 restrictions are in place.
Working conditions: Although rare, this position requires occasional work on weekends and evenings to accommodate meetings and events.
