Job description: JOB SUMMARY:
The Office Coordinator will be responsible for maintaining the daily operations in our Toronto office two days a week. The Office Coordinator will report to the Senior Director of Accounting supporting in office maintenance and projects as needed.
JOB RESPONSIBILITIES:
- Office Administration
- Maintaining stock and inventory and ordering supplies when needed (kitchen and bathroom supplies, general office supplies)
- Maintaining a tracking sheet of expenses versus budgeted amount
- Manage office phone calls and correspondence (email, letters)
- Sorting through received mail/courier and delivering to the appropriate recipient in the office
- Arranging outbound mail/courier as needed
- Greeting guests and visitors to the office
- Receiving shipments (inventory, water, office supplies when the fulfillment associate is off duty)
- Coordinate with office cleaning service company to ensure all office cleaning needs are met
- General office maintenance: ensure the server room fan is always running and cooling, light bulbs are working, HVAC is working, managing dishwasher
- Point of contact with office security company
- Keeping track of employees with access to the building and ensure terminated access is removed in a timely manner
- Coordinate and organize office events, such as planning office parties
- All other duties or projects as assigned.
KEY PERFORMANCE INDICATORS:
- Proper office inventory and supplies level
- Partnership with office employees
REQUIREMENTS:
EDUCATION:
- College Diploma in office administration or related discipline
EXPERIENCE:
- Previous office administrator experience is preferred
SKILLS:
- Proficient in Microsoft Excel and Word
- Familiarity with Outlook and Teams
- Excellent written and verbal communication skills
- Excellent time management, team player and collaboration skills
- Exceptional organizational skills with the ability to multitask and prioritize tasks
- Demonstrated problem-solving skills
- Ability to work independently
PHYSICAL & TRAVEL REQUIREMENTS:
- Must be able to travel to Toronto Office
- 16 hours/week
