Job description: JOB SUMMARY:

The Office Coordinator will be responsible for maintaining the daily operations in our Toronto office two days a week. The Office Coordinator will report to the Senior Director of Accounting supporting in office maintenance and projects as needed.

JOB RESPONSIBILITIES:

  • Office Administration
  • Maintaining stock and inventory and ordering supplies when needed (kitchen and bathroom supplies, general office supplies)
  • Maintaining a tracking sheet of expenses versus budgeted amount
  • Manage office phone calls and correspondence (email, letters)
  • Sorting through received mail/courier and delivering to the appropriate recipient in the office
  • Arranging outbound mail/courier as needed
  • Greeting guests and visitors to the office
  • Receiving shipments (inventory, water, office supplies when the fulfillment associate is off duty)
  • Coordinate with office cleaning service company to ensure all office cleaning needs are met
  • General office maintenance: ensure the server room fan is always running and cooling, light bulbs are working, HVAC is working, managing dishwasher
  • Point of contact with office security company
  • Keeping track of employees with access to the building and ensure terminated access is removed in a timely manner
  • Coordinate and organize office events, such as planning office parties
  • All other duties or projects as assigned.

KEY PERFORMANCE INDICATORS:

  • Proper office inventory and supplies level
  • Partnership with office employees

REQUIREMENTS:

EDUCATION:

  • College Diploma in office administration or related discipline

EXPERIENCE:

  • Previous office administrator experience is preferred

SKILLS:

  • Proficient in Microsoft Excel and Word
  • Familiarity with Outlook and Teams
  • Excellent written and verbal communication skills
  • Excellent time management, team player and collaboration skills
  • Exceptional organizational skills with the ability to multitask and prioritize tasks
  • Demonstrated problem-solving skills
  • Ability to work independently

PHYSICAL & TRAVEL REQUIREMENTS:

  • Must be able to travel to Toronto Office
  • 16 hours/week
