Job description: Robert Half is currently looking for an Office Manager Join our client’s close-knit team in Kingston, Ontario. Our client prides themselves on maintaining a supportive work environment, where everyone collaborates to ensure their office runs smoothly. As an Office Manager/Administrator, you will play a key role in managing various administrative tasks, supporting members, and helping maintain a high level of service. The Office Manager/Administrator is a pivotal role that requires a combination of strong administrative skills, tech-savviness with an emphasis on Microsoft Excel, and an ability to interact with members, ensuring their needs are met. In this position, you will be responsible for various tasks that contribute to the overall success of the organization.

Key Responsibilities:

– Handle inbound calls and provide exceptional customer service to members

– Work autonomously to manage various administrative duties

– Multitask efficiently and prioritize tasks as needed

– Utilize Microsoft Excel, including Auto Sum formulas, for data management and reporting

– Assist organizers and liaise with internal stakeholders

– Manage email and phone correspondence with professionalism

– Book training for members and track training schedules

– Assist members with payments and related inquiries

– Maintain records of accounts

– Send forms related to members

– Assist with sending lists of relevant documentation to the head office

– Navigate and manage collective agreements

Requirements:

– Minimum of 3 years of experience in an administrative role

– Proficiency in English; knowledge of another language, specifically Portuguese is a strong asset

– Tech-savvy with strong Excel skills (including Auto Sum)

– Strong organizational skills, and detail-oriented

– Able to work autonomously and prioritize tasks effectively

– Strong data entry skills

– Comfortable with multitasking and managing various responsibilities

– Training will be provided onsite in Coburg, with the position based in Kingston
