Job Summary:
We are seeking a highly organized and detail-oriented individual to fill the role of Operations Administrative Coordinator with a focus on Executive and Administrative Assistant tasks. This position plays a crucial role in supporting the seamless functioning of our client’s Managed Services operations while also providing administrative assistance to the executive. The ideal candidate will possess strong organizational and multitasking skills, excellent communication abilities, and the ability to thrive in a fast-paced environment.
Responsibilities: * Operations Coordination:
- Streamline and optimize operational processes to enhance efficiency.
- Collaborate with various departments to ensure smooth communication and workflow.
- Track and manage resources, data, and sensitive information.
- Administrative Support:
- Provide administrative assistance to executive, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Draft and proofread correspondence, reports, and presentations.
- Handle phone calls, emails, and inquiries, redirecting them as necessary.
- Meeting minutes and agendas
- Prioritize tasks and responsibilities.
- Expenses, AR/AP duties
- Data Management:
- Maintain and organize data, ensuring accuracy and confidentiality.
- Generate and analyze reports to support decision-making processes.
- Log historical data.
- Project Coordination:
- Assist in planning and executing company initiatives and meetings
- Set up new and existing clients and vendors.
- Coordinate logistics and onboarding support.
- Executive Support:
- Act as a gatekeeper, managing access to executives and prioritizing appointments.
- Conduct research and prepare background materials for meetings.
- Documentation and Filing:
- Establish and maintain a systematic filing system for both electronic and hard-copy documents.
- Ensure compliance with document retention policies.
Qualifications:
- Proven experience as an administrative coordinator or executive assistant.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proficient in Google Suite
- High level of attention to detail and accuracy.
- Ability to handle sensitive and confidential information with discretion.
Education and Experience:
- Bachelor’s degree in Business Administration, Management, or a related field is preferred.
- Previous experience in a similar role
