This is a part-time role, offering approximately 3-4 days week with the opportunity to grow into full-time in the near future.
YOUR KEY RESPONSIBILITIES:
As Office Manager, you will not only oversee the smooth and efficient running of our office and operations, you will also provide Executive Assistant support to our President. You will work closely with our senior management team to create a comfortable, organized environment where the team is set up to exceed goals and stakeholder expectations. * Provide Executive Assistant support to the President including calendar/travel management, preparing company documents, and meeting management.
- Coordinate office logistics, team celebrations/social events, staff meetings, agendas and action items, holiday requests and manage the office sick days calendar.
- Manage monthly invoicing, expenses, financial tracking. Organize and file bookkeeping receipts, client payments and deposits.
- Support Management with database and system updates such as client tracking and filing.
- Ensure seamless office operations by routinely checking voicemails, managing couriers, ordering office supplies and providing additional support as required.
- Liaise with vendors, suppliers, and partners to arrange contracts and payments.
- Provide a communication channel between employees and senior management to support team needs and assist with other administration tasks as needed.
YOUR BACKGROUND:
You are a take-charge individual whose eye for detail and passion for excellence motivates those around you. You are highly organized with experience in a fast-paced administrative role and some experience with finance. Finding new solutions to contribute to overall office efficiency excites you.
- You have 3+ years of experience in an Executive Assistant or Office Management role
- You have a basic understanding of finance
- You are an active problem-solver, always looking for new ways to increase efficiency
- You are professional with a high attention to detail
- Your positive attitude and agility earn you the respect of fellow employees quickly and easily
- You are resourceful, self-motivated, and remain calm under pressure
- You are proficient with technology including Microsoft Word, Excel and familiar with Mac computers
