Job Description

The role of the IT Project Control Officer (PCO) is to assist the IT Project Manager (PM) in planning, executing, and finalizing projects according to scope, deadlines and within budget.

Governance

  • Present the high-level status of their projects.
  • Assist in conducting monthly steering committee meetings per project to present the latest status in terms of scope, cost, and schedule to the project sponsor(s).
  • Assist in conducting weekly project status meetings with project team members to get the latest status and forecasts.
  • Help tracking and solving the issues and risks in the project and build corresponding action plan to mitigate and/or resolve them,
  • Assist in preparing the presentation of all red and yellow global status projects in the bi-weekly Project Portfolio Review meetings to our IT leadership (CIO & CFO, and all IT Directors).

Strategy, Planning, and Transparency

  • Assist in defining project scope, goals, and deliverables that support business goals in collaboration with senior management and stakeholders.
  • Assist in planning and scheduling project timelines and milestones using appropriate tools.
  • Track project milestones and deliverables.
  • Collects the content of status reports from the project team, analyse results, and troubleshoot problem areas.
  • Reminds the project success criteria and disseminate them to involved parties throughout project life cycle.
  • Help conducting project post-mortems and create recommendation reports to identify successful and unsuccessful project elements.
  • Assist in developing best practices and tools for project execution and management.

Acquisition & Deployment

  • Estimate the resources and participants needed to achieve project goals.
  • Draft and submit budget proposals and recommend subsequent budget changes where necessary.
  • Controls the budget of his/her project.
  • Assist in determining and assessing need for additional staff and/or consultants and make the appropriate recruitments, if necessary, during project cycle using RFP/RFQ/RFI templates (Request for Proposal, Request for Quote, and request for Information).

Operational Management

  • Identify and manage project dependencies and critical path.
  • Develop and deliver progress reports, proposals, requirements documentation, and presentations.
  • Proactively manage changes in project scope, identify potential crises, and devise contingency plans.
  • Build, develop, and grow any business relationships vital to the success of the project.

Qualifications

  • 5 years’ direct work experience in a similar position
  • University degree or college diploma in the field of project management or related field (or equivalent).
  • Certification(s) in project management including one of those or equivalent, would be an asset: PMI-CAPM® (Certified Associate in project Management), PRINCE2 Foundation.
  • Strong familiarity with project management software, such as MS Project Desktop and MS Project Online (Project Center server), DevOps, or the equivalent.
  • Demonstrate strong organizational and time management skills.
  • Demonstrate strong problem-solving and having critical thinking skills.
  • Strong interpersonal skills.
  • Flexible during times of change.
  • Bilingual in French and English is mandatory
