Job title: Project Coordinator
Job description: Our client, a well-established professional services firm who specializes in executive search is looking for a Project Coordinator to support the recruitment team. As the ideal candidate, you will have at least 5 years of experience in office administration, strong written and oral communication skills and, if you have experience with the Adobe Creative Suite, that is highly desirable. If you enjoy working on multiple concurrent projects with a positive attitude and sharp solutions-focused approach, we want to hear from you!
Location: Vancouver, BC
Expected Salary Range: $50,000 – 55,000 per year
Responsibilities:
- Assist recruitment team with candidate sourcing and engagement, and related administrative support functions
- Post new search project details on company website and social media channels
- Arrange appointments, interviews, video calls and client meetings
- Ensure client and candidate contact information is accurate and updated in the database
- Type, format and proofread client and candidate documents and correspondence
- Conduct educational and background checks for candidates
- Prepare interview packages, including interview schedules, candidate resumes, interview questions and associated documents
- Attend weekly Operations and other scheduled calls/meetings – including preparing agendas, taking minutes, and distributing to relevant parties
- Handle travel arrangements and complete expenses reports
- Prioritize workloads and assist with calendar management
- Organize corporate gifts, reservations, and internal social and external business events (includes liaising with both the venues and the guests, arranging invitations, responses, catering, equipment and logistics)
- Provide assistance with social impact initiatives, proposals, business development and other various projects
- Support the Partners with business development and proposal preparation using PowerPoint
- Additional tasks and special projects, as required.
Requirements:
- Minimum 5 years’ experience in an office administration setting; preferably in a high volume, fast-paced role
- University degree is preferred
- Experience in executive administration and event planning/coordination
- Solid, proven abilities with Microsoft Office Suite and experience with Adobe Creative Suite is considered an asset
- Must be highly organized and extremely detail oriented. Strong attention-to-detail while multi-tasking on simultaneous projects is an essential part of this role
- Exceptional written and oral communication skills and the ability to effectively communicate with a team and external stakeholders
- Pro-active nature and the ability to anticipate and resolve issues before they arise
- Client-service oriented with the desire to go above and beyond
- Tact and diplomacy when working with confidential records
