As a Proposal Specialist for our Ottawa District Office in Ottawa, ON, you will contribute to our team by:
- Coordinating the proposal process from start to finish ensuring a top quality, competitive and winning response to comprehensive Requests for Proposals and related documents. “Proposals” may include: Expressions of Interest (EOI); Requests for Qualifications (RFQ); Requests for Proposal (RFP).
- Assisting with RFP review process including reviewing RFP requirements, development of proposal outline and timeline/assignments (Proposal Plan), and identifying questions, concerns and potential risks to inform the Strategic Visioning and proposal planning stage of the process.
- Coordinating and participating in the kick-off ‘Strategic Visioning’ and Proposal Planning session, ensuring that all key proposal stakeholders are represented; Champion/Chair meetings as necessary throughout the proposal process.
- Translating a proposal ‘Vision’ into a compelling proposal layout and graphic design working primarily in InDesign (with full command of Adobe Suite), and creating compelling graphics and visual communication strategies, including strategic image selection and/or acquisition.
- Delegating tasks amongst proposal stakeholders throughout the proposal process and monitoring progress to ensure timely response and inputting to meet proposal deadlines.
- Assembling and reviewing responses for compliance, accuracy and content, and coordinate/ participate in review sessions with teammates/ stakeholders to ensure the integrity of all documents and solutions.
- Accurately proof, edit and reword text. Deliver a high quality, error free submission, on time.
- Other duties as required.
Qualifications
What you will bring to the role:
- Minimum of 3-5 years’ experience in a similar role.
- Postsecondary degree or diploma in marketing, communications, journalism, or equivalent.
- Design/graphic design/communications/marketing/visual communications background and/or education or related experience.
- Association of Proposal Management Professionals (APMP) practitioner certification would be considered an asset.
- Strong business acumen with an understanding of construction terminology and industry practices.
- Outstanding verbal, written, and visual communication skills.
- Strong project management, organizational, and time management skills.
- Highly developed interpersonal skills with an ability to collaborate with and adapt to a diverse group of stakeholders.
- Self-directed, results-oriented, able to work under extremely tight deadlines.
- Strong attention to detail, good judgement, and ability to problem-solve.
- Working knowledge of InDesign, Adobe Creative Suite and Microsoft Office.
- Bilingualism would be considered an asset.
