As an Purchasing Support Administrator for our PCL Industrial Management Inc. office in Edmonton, AB, you will contribute to our team by:

  • Supporting the Procurement team though an advanced administrative role.
  • Assisting with preparation and distribution of appropriate purchase contract documents (e.g. subcontracts, Major Purchase Orders (PO), rental / lease agreements and service contracts) on behalf of the department.
  • Proactively expediting and following up on all aspects of the contract process with internal and external customers and tracks contract discrepancies, outstanding or overdue contracts.
  • Developing and maintaining a well-organized electronic filing system.
  • Creating and maintaining templates for forms, letters, tracking spreadsheets, etc.
  • Providing support to buyers with purchasing miscellaneous materials/assets and services as directed.
  • Identifying and selecting vendors to purchase requisitioned consumables.
  • Applying relevant purchasing/supply agreements to daily purchases.
  • Proactively expediting and following up on all aspects of the entire purchasing process with suppliers to schedule deliveries and resolve material discrepancies, outstanding or overdue deliveries.
  • Developing and maintaining customer-focused working relationships with suppliers, internal and external customers, and projects.
  • Identifying, evaluating, and escalating potential risks that could affect project deliverables.
  • Assisting with general administrative duties as required.

Qualifications

What you will bring to the role:

  • Minimum of 5 years’ experience in an administrative capacity; experience in the construction industry is considered an asset.
  • Post-secondary degree or diploma or certificate in office administration program is considered an asset.
  • Is able to anticipate and fulfill the needs of a busy department.
  • High attention to detail.
  • Ability to work under pressure.
  • Ability to carry out a number of tasks simultaneously.
  • Adaptable and able to work effectively in a fast-paced and rapidly changing business environment.
  • Basic understanding of supply chain and contract management is considered an asset.
  • Excellent interpersonal, written, and verbal communication skills.
  • Intermediate to advanced experience using Microsoft Office Suite.
  • Self-management skills to plan, organize, and prioritize tasks with conflicting deadlines.
