Job description: The Purchasing Clerk IV, Warehouse Operations performs a variety of purchasing placing rush purchase orders, verifying and monitors warehouse inventory, assisting with product conversions and maintaining item dictionary. Performs clerical duties including data entry, reception, word processing and record keeping to support the operation of the warehouse and supply distribution service.
What you’ll do
- Receives rush orders by telephone, fax and/or by electronic format from internal customers., Completes purchase orders by placing and entering orders into system, arranges for appropriate approvals and forwards to supplier. Verifies orders processed the day before or completed and follows up on un-closed orders.
- Verifies warehouse inventory levels by monitoring inventory and performing cycle counting duties on a weekly basis to ensure that all materials are properly verified and reflective of reported inventory. As required, tracks down inventory when the systems shows stock but not in the correct location in the warehouse and adjusts computer amount to match the physical amount.
- Maintains the item dictionary and provides information and catalogues to departments as requested. Updates the dictionary for product changes, additions and deletions and sends out emails distribution to internal customers.
- Assists Inventory Analysts and Warehouse Manager with product conversions by updating top up dictionaries with new product information and creating affected top up labels. Communicates and forwards Product Change Notice (PCN) documentation to top up staff for distribution. As required, adjusts physical inventory by removing and/or making space arrangements for new product and posts documentation in warehouse relevant to the product change
- Mitigates and tracks picking error by telephone, fax and/or by electronic format from internal customers related to picking errors by the warehouse staff and ensures correct supplies are received.
- Completes data entry of customer requisitions for supplies, updates information and performs data entry as directed by transferring inventory adjustment information into the computerized inventory management system.
- Answers telephone calls by providing general information, transferring calls or taking messages. Performs reception duties by receiving visitors, directing to appropriate areas and responding to inquiries; refers/escalates as appropriate.
- Monitors the shared email for receiving for blind receiving sent by internal customers. Contacts internal/external customers, as required, to obtain and/or relay pre-established information; forwards information obtained to supervisor/delegate.
- Sets up and maintains document filing systems for the regional warehouse and supply distribution service including correspondence, reports and supply and equipment records.
- Utilizes word processing and spreadsheet applications to type from draft correspondence, minutes and reports and prepare spreadsheets as required.

- Grade 12
- Two years’ recent, related experience or an equivalent combination of education, training and experience.
- Ability to keyboard at 45 w.p.m.
