Job description: Job Summary:

In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position. The Receptionist is responsible to greet patients, clients, visitors and direct them to appropriate areas. Provide information services; respond to requests for information, such as location of facilities and personnel, telephone numbers and general information or refers to others. Maintains lists, staff directories and tidiness of reception area. Operates a switchboard to answer incoming calls; obtains/provides information, transfer to the appropriate department/area, takes/relays messages and/or pages as required. Responds to emergency signals in accordance with established codes and procedures. Processes incoming and outgoing mail; receive, opens and dates stamp incoming mail, packages, sorts and distributes, prepares outgoing mail, signs courier receipts and send/ receive faxes. Performs a variety of clerical duties such as maintain files and office supplies, schedule appointments and book meeting rooms, as required. Performs general word processing and data entry functions.

Duties/Accountabilities:

2. Operates a switchboard to answer incoming calls; obtains/provides information, transfers to the appropriate department/area, takes/relays messages and/or pages as required. Responds to emergency signals in accordance with established codes and procedures.
3. Processes incoming and outgoing mail; receives, opens and date stamps incoming mail, packages, sorts and distributes, prepares outgoing mail, signs courier receipts and sends/receives faxes.
4. Performs a variety of clerical duties such as maintains files and office supplies, schedules appointments and books meeting rooms, as required. Performs general word processing and data entry functions; inputs information into computerized systems, prepares correspondence and reports. Completes forms.
5. Operates a variety of office equipment and carries out minor maintenance functions such as loading paper and removing jams and/or contacts others for repair.
6. Performs other related duties as assigned.

Qualifications:

Education, Training and Experience

  • Grade 12, Medical Office Assistant certificate, plus six (6) months recent related experience, or an equivalent combination of education, training and experience.

Skills and Abilities

  • Ability to be sensitive, tactful and diplomatic with clients and the public.
  • Knowledge of general office procedures.
  • Ability to type 30 w.p.m.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to work independently and effectively with others.
  • Ability to organize and prioritize work.
  • Ability to operate related equipment.
  • Computer skills; able to operate a computerized client care information system , word processing and spreadsheet software
  • Physical ability to carry out the duties of the position.
