About the Position:

This position is a temporary, full-time support staff position replacing a bargaining unit employee for 35 hours per week.
Position to commence February 15, 2021 and complete August 15, 2022.

Specific Accountabilities:

  • Provides administrative assistance to the Manager, College Access Programs
  • Responsible for the Student Help Desk in the SCWI Department by responding by phone/email and/or in person to a variety of inquiries on all aspects of the S.C.W.I. program including assisting students with navigating issues with user names, passwords, program and transportation issues or changes, etc.;
  • Responsible for all student related administration such as registration, student data entry and manipulation for reports, marks submission and reports, and finally transportation;
  • Processes applications for Dual Credit students from Board Partners. Registers and codes secondary school students as part time college Dual Credit students in Dual Credit courses, SWAC and OYAP;
  • Liaise with the School Boards (board partners and teachers) to monitor student attendance and withdrawals throughout the semester. Sends final grades to individual secondary schools and generates reports requested from evaluation data;
  • Organizing and maintaining transportation requirements for Dual Credit activities and regular transportation including transportation contracts with bus or taxi providers, purchasing and distribution of bus passes and parking passes;
  • Event planning for SCWI activities and events.
  • Reporting changes in EDCS (SCWI reporting tool)
  • Other duties as assigned.

Qualifications:

  • Minimum of a two-year post-secondary Office Administration Diploma or a diploma in a relevant or related field is required;
  • Two or more years’ practical work experience in customer service and office administration using technology as a key tool in managing various responsibilities;
  • Demonstrated professionalism and ability to handle confidential and sensitive material with tact and diplomacy, exercising discretion and judgement at all times;
  • Demonstrated excellent interpersonal and communication (oral and written) skills to interact effectively with staff, students and the public are all essential;
  • Excellent organizational and time management skills including the ability to set priorities and meet deadlines;
  • Excellent computer skills with a demonstrated knowledge of Microsoft Office products especially Excel and Microsoft Outlook;
  • Highly organized, multi-task oriented with a strong aptitude for detail and accuracy;
  • Aware of the importance of and displays skill in providing timely and exemplary customer service to internal and external customers;
  • Exceptional critical thinking skills to effectively troubleshoot or solve problems effectively;
  • A collaborative team player who takes personal accountability to deliver on what is expected in your role and you strive for excellence every day;
  • Comfortable working in a digital environment and you are committed to using technology to create an exceptional student experience;
  • You think broadly, celebrate diversity of thought, and respect the uniqueness of individuals;
  • Familiarity with Ellucian, WebAdvisor, D2L and my Lambton.
