About the Opportunity
Reporting to the Health Services Lead, Primary Health Care, the Secretary III provides office, secretarial and administrative support to Harbour South Medical Clinic and other teams within Primary Health Care. The Secretary III is responsible for ensuring that the clinics/offices are run in a smooth, efficient and professional manner and that good working relationships and communication are fostered within their respective sites. Serving as the primary point of contact for the clinics/offices, the Secretary III ensures providers schedules are appropriately booked, accurate billing is completed, patient charts are maintained, and general office duties such as filing, photocopying and maintaining sufficient inventory of supplies; and collecting data and generating reports as required.
This position also provides program assistance which may include brochure development, planning and coordination of launches, educational sessions and other special events related to various projects; and assisting with the planning and organization of various meetings and transcribing and distributing minutes of various committees and working groups as requested by the management team.
The Secretary III may be required to work at sites other than their home site due to vacations or leaves-of-absence and when doing so is responsible for efficient operation of both sites at such times.
About You
We would love to hear from you if you have the following:
- Graduate of a recognized office administration program with medical terminology required
- Minimum of two years’ recent related experience, preferably in a medical setting required
- Proficiency in Med Access is an asset (electronic medical record)
- Ability to use Microsoft Windows and all components of Microsoft Office including Excel, Power Point, Outlook
- Typing skills – minimum of 60 words per minute
- Proficiency physician billings (MSI and / or IFHP) is an asset
- Demonstrated current knowledge of Medical Terminology
- Demonstrated communication skills & excellent organizational skills.
- Demonstrated interpersonal skills including ability to work as a team member and ability to foster collaborative relationships
- Demonstrated accountability, initiative, and ability to work independently
- Demonstrated judgment and decision making skills
- Demonstrated planning, organizing, prioritizing and time management skills
- Demonstrated attention to detail
- Demonstrated conflict resolution skills

Hours
- Permanent part-time position; 28 hours bi-weekly

Compensation and Incentives
$20.36 – $23.14 Hourly
