In this role as Senior Administrative Assistant and Peer Leader, you will lead the administrative support team in its delivery of high-quality work and exceptional client service.

In addition to peer leadership, you will provide administrative support to the Business Unit’s Assurance Service Line in the execution of internal client service strategy, projects and initiatives.

As a Senior Administrative Assistant- Peer Leader, your responsibilities will include:

  • Managing the ICS team’s day-to-day needs and present issues to Administration Manager as required
  • Delivering training & ongoing development of new colleagues
  • Coaching and mentoring your peers and providing constructive, motivational feedback for growth
  • Overseeing the administrative team’s vacation and work schedules
  • Distributing work evenly among the team to ensure maximum efficiency
  • Maintaining compliance with Grant Thornton’s document retention and destruction policies and procedures
  • Managing various calendars. Scheduling, liaising and communicating with others, proactively preparing information in advance of meetings.
  • Receiving, distributing, redirecting and responding to mail, email, telephone calls, reports and other material as appropriate. Ensuring appropriate follow up action is taken where required.
  • Planning, coordinating, and attending meetings/events as requested. Recording minutes, action items and ensuring appropriate follow up occurs.
  • Working with the event planning team to design, coordinate and host events.
  • Preparing, drafting, editing and formatting letters, reports, presentations, spreadsheets and other client correspondence using MS Office (i.e. Word, Excel, PowerPoint).
  • Maintaining the client relationship management software for the group, including entry, managing the progress and closing out of opportunities
  • Managing the billing process, including drafting invoices for clients, sending invoices to clients on behalf of the partner, and alerting the partner to accounts receivable/collection issues.
  • Coordinating travel planning and arrangements.
  • Preparing and tracking expense claim submissions.
  • Providing occasional reception coverage.
  • Supporting the team in the delivery of exceptional client service.

  • 5-7 years’ experience in a senior administrative role.
  • 2 years’ experience in a leadership role.
  • Proven to be detail-oriented, reliable, efficient, and diligent in the delivery of commitments
  • Technologically savvy, including MS Office Suite (Excel, Word, PowerPoint, Outlook) and other software applications
  • Working knowledge of Visio, STAR and OneView, as well as a document management system would be an asset
  • Ability to multitask and deal with frequent change, delays or unexpected events
  • Capable of working within tight deadlines on multiple projects
  • Solid business acumen, management, and problem-solving skills
  • Eagerness to learn and be a collaborative and contributing member to our team
  • Excellent verbal and written communication skills
  • Demonstrated experience with mentoring people and leading a team
  • Exceptional organizational and project management skills, demonstrating exceptional client service.
  • Leadership capabilities: authentic, inspirational and collaborative. Experience coaching and mentoring peers on a high-performing team.
